Upcoming Changes to Navigation, Menu Management, and Visibility

    Overview

    This article outlines the significant updates to portal navigation and menu item management included in Release REL-2025.7.0. These changes introduce a more modern and flexible navigation experience with nested menus (dropdowns).

    Key updates include a new dropdown menu item, a revised model for managing menu item visibility, and the removal of the dynamic “More” menu feature. These changes will require administrators to review and test their portal's navigation to ensure a smooth transition and optimal user experience.

    What's Changing?

    • Dropdown Main Menu Item: Main header menu items can now be converted into dropdowns to group related items, cleaning up your navigation.
    • Important Change - Loss of Dynamic "More" Menu item: The current feature, which automatically moves menu items to a 'More' section if they exceed the page width, will no longer be supported.
    • Redesigned App and Menu Item Management: A more user-friendly design for managing apps, tabs, and roles.
    • Significant Changes to Menu Item Visibility
      • New Primary Visibility Control: Menu item visibility will now primarily be determined by assigning apps (which contain your menu item) to security roles.
      • Visibility for Specific Menu Item Types:
        • For most menu item types (e.g., Active Page, Entity menu items), general visibility toggles are being removed. Their visibility will be controlled via their existing specific permission settings, in conjunction with app-to-role assignments, resulting in a per-role experience.
        • Visibility settings ("Visible" / "Invisible") will remain ONLY for Link and Web Menu items (as their visibility cannot be controlled through other permission systems), and these settings are applied per security role.
    • Transition from Old Visibility Settings: The old three-option general visibility setting ("On", "Off", "Hidden"), which could be applied per security role, is being removed.
      • For any existing menu item (other than Link/Web) that was "Off" or "Hidden" for a specific security role, this setting will be removed. Its visibility for that security role will now depend on app/security role assignment and its specific permissions.
      • For Link and Web Menu items, any existing "Off" or "Hidden" status that was applied for a role will be converted to "Invisible" for that role.

    Impact on Your Portal:

    • Clearer Navigation: Users will find a more structured, multi-level menu.
    • Managing Top-Level Menu Items: You control the number of main menu items. With the removal of automatic dynamic menu resizing, we encourage you to determine the optimal number of top-level menu items for your portal. It's important to test your configuration on various devices and screen sizes to ensure a good user experience and prevent a cluttered or broken navigation bar.
    • Simplified App Admin: The redesigned app management area will be more straightforward.
    • New Menu Item Visibility Management: The way menu item visibility is controlled will change.
      • For most menu items, visibility will be managed by assigning apps to roles, and for certain types (like Entity menu items), by their existing specific permissions, leading to different experiences for different security roles.
      • For Link and Web menu items specifically, you will continue to use "Visible" / "Invisible" settings on a per-security role basis.
      • You will need to familiarize yourself with this updated model.

    Next Steps for Administrators:

    • Auto-Upgrade & Flexibility: Your existing menu items will be automatically upgraded. The first five or six current menu items will become top-level main menu items. The remaining menu items will be grouped into a new, static "More" parent menu item.
      • Important Note:
      • For Link and Web Menu items previously set to "Off" or "Hidden" for a role, these will be marked as "Invisible" for that role.
      • For all other menu item types, any old "Off" or "Hidden" status that was applied for a specific role will be removed. The visibility of these menu items for each role will then be determined by app-to-role assignments and any existing specific permissions (e.g., entity permissions) applicable to that role.
      • You should review all menu item visibility configurations per role during the upgrade.
    • Post-Upgrade Flexibility: Following this automatic update, you will have full control to reconfigure this structure, create new dropdowns, and organize your menu items using the upgraded menu item configurator.
    • Review and Test User Experience: Once the changes are live in your sandboxes (and subsequently production), your primary action is to thoroughly review the user experience. This includes:
      • Re-evaluating Menu Item Visibility: Review which security roles have access to which apps. For Link and Web Menu items, confirm their "Visible" or "Invisible" status for each relevant security role. For other menu item types, verify their visibility based on app/security role assignment and their specific permissions as they apply to each security role.
      • Redesigning app navigation: Evaluate how your current applications and their menu items fit into the new nested menu structure. Reorganize content using the parent menu items and dropdowns for optimal clarity and usability.
      • Testing on various devices: Given the removal of dynamic menu resizing, it's essential to test your portal's appearance and navigation on different screen sizes (desktops, tablets, and mobile phones). Ensure your chosen number of top-level menu items, along with dropdowns, looks good and functions correctly across all devices.

    Release Timeline

    • Sandbox Release: Changes will be available in sandbox environments in late August - early September 2025.

    • Production Release: The REL-2025.7.0 production launch is planned for approximately two weeks after the sandbox release.
