Audited Fields

    Audit fields are fields that, after being configured, track specific information about record changes. These fields provide a history of changes made to the records and help track and audit data modifications within the system.

     

    Use Case Scenarios

    Audit fields serve as essential tools for maintaining compliance, conducting thorough audits, and safeguarding data integrity. They play a crucial role in preserving a reliable record of system actions, enabling administrators to actively monitor and investigate any changes made to critical data. By utilizing audit fields, organizations can ensure regulatory adherence, facilitate comprehensive audits, and uphold the integrity of their valuable data assets.

     

    How to set it up

    1. On the Setup Home page:
      • For Magentrix Native Entities, click Create > Entities > Fields tab
      • For CRM (Salesforce*, Dynamics, etc.), click Extend > Select the CRM > Fields tab
    2. In the fields tab > Click on the field you wish to track record changes > Click Edit.
    3. Select the Audited Field checkbox.

    To add the Related List:

    1. On the object, click on Page Layouts, and Edit.
    2. Open the Related Lists options, look for Object name + History (e.g. User History).
    3. Drag and drop it into the layout.

    Demonstration:

    Salesforce Field History Tracking

    If your Salesforce instance has field history tracking enabled, you have the option to incorporate the related list displaying the changes tracked by Salesforce into Magentrix.

    To import the Related list Object:

    1. On the Setup Home page, click Extend > Salesforce > New
    2. Search for Object name + History

    To add the Related List:

    1. On the object, click on Page Layouts, and Edit.
    2. Open the Related Lists options, look for Histories. 
    3. Drag and drop it into the layout.

    Demonstration:

     

    Limitations: Only the changes that were made after the configuration are going to be tracked.
    Although the field audit feature captures changes made to a field by all users, the change history list is only available to users assigned to the "Employee" type of security role.
