Feature Spotlight: Magentrix Portal User Options for HubSpot

    The Magentrix Portal User Options for HubSpot enables internal HubSpot users to manage portal access directly from HubSpot contact records without logging into Magentrix as an administrator. This feature streamlines user provisioning and management by reducing the number of steps required to grant, modify, or revoke portal access, improving response time and operational efficiency.

    Accessing Portal User Options

    The Magentrix Portal User Options feature is accessed through a card on the HubSpot Contact page layout.

    Setup Required: Before you can use this feature, the Portal User Options card must be configured on your HubSpot contact page layout. See Configuring Magentrix Portal Options for setup instructions.

    Once configured, the Magentrix Portal User Options card appears in the right sidebar of HubSpot contact records.

    Available Actions

    The Portal User Options card provides different actions depending on whether the contact is currently a portal user:

    For Contacts Not Yet Enabled as Portal Users

    Available Action: Enable as Portal User

    Click the Actions dropdown and select a community role to enable the contact as a portal user. The contact will immediately receive an activation email with login instructions.

    For Active Portal Users

    Available Actions:

    • Deactivate User
    • Reset Password
    • Change Role

    Active portal users can be managed through the Actions dropdown, which provides options to deactivate their access, send password reset emails, or change their security role.

    Common User Management Tasks

    Enable a New Portal User

    Grant portal access to a contact who isn't currently a user.

    Deactivate a Portal User

    Remove portal access while preserving the user's data and history.

    Reset a User's Password

    Send a password reset email to help users regain access to their account.

    Change a User's Role

    Update a user's security role to modify their permissions and access level.

    Reactivating Deactivated Users

    If a user has been deactivated, they can be reactivated at any time through the same Actions dropdown. When reactivated, Magentrix sends a new invitation email to the user with login instructions.

    Prerequisites

    To use the Magentrix Portal User Options feature:

    • The Portal User Options card must be configured on your HubSpot contact page layout
    • You need appropriate administrative permissions in HubSpot to manage contacts
    • Available Magentrix user licenses for enabling new users
    • Valid email addresses on contact records

    Getting Started

    1. Configure the Portal User Options Card: Follow the configuration guide to add the card to your HubSpot contact layout
    2. Review Available Roles: Understand which security roles are available for assignment
    3. Start Managing Users: Open any contact record and use the Actions dropdown to manage portal access
