How to Configure Your Social Profile

    Overview

    Your Social Profile is your personal hub for collaboration and networking within the Magentrix portal. When the Social Collaboration module is enabled, you can customize your profile with personal information, photos, and privacy settings to help others connect with you and engage with your content.

    What you can configure:

    • Profile picture and cover photo
    • Personal information (name, alias, title, about me)
    • Privacy settings (Public or Private account)
    • Contact preferences and availability

    Why configure your Social Profile:

    • Build professional connections across your organization
    • Personalize your portal presence
    • Control who can view your information and activities
    • Enable meaningful collaboration with colleagues, partners, or customers

    Prerequisites

    Before configuring your Social Profile, ensure you have:

    Required Permissions:

    • All Entities, User (system), Edit: Private
    • Other Settings, Social Collaboration: Enabled

    System Requirements:

    • Social Collaboration must be enabled on the portal by your administrator

    Note: If you don't see the "Edit Profile" option, contact your portal administrator to verify your permissions.


    Steps to Configure Your Social Profile

    Step 1: Access Your Profile Settings

    1. Click on your name in the upper right corner of any page
    2. Select My Profile from the dropdown menu

    You'll be taken to your Social Profile page, which displays your current profile information and activity feed.

    Step 2: Edit Your Profile Information

    1. Click the Edit Profile button (located near the top of your profile page)
    2. Complete the available profile fields:
      • Name: Your full name (automatically populated from your user account)
      • Alias: A display name or nickname for your profile
      • Title: Your job title or role
      • About Me: A brief biography or description
      • Contact Information: Any additional fields your administrator has enabled (e.g., phone, email, department)

    Field Tips:

    • Alias is particularly important if you use Private profile settings, as this is what others will see
    • About Me helps others understand your expertise and interests (recommended: 2-3 sentences)
    • Additional custom fields may be available depending on your organization's configuration

    Step 3: Configure Your Privacy Settings

    In the Privacy Setting dropdown, choose how visible you want your profile to be:

    Option 1: Public Profile (Recommended for Most Users)

    Select "Public" if you want:

    • All profile information visible to other portal users
    • Your profile to appear in the People Directory
    • Others to easily discover and follow your activities
    • Posts and comments to display your full name

    Best for: Users who want to maximize networking, collaboration, and visibility within the organization.


    Option 2: Private Profile

    Select "Private" if you want:

    • Only your Alias, Title, and About Me visible to others
    • Your profile excluded from the People Directory/People Tab
    • All posts and shared content to display under your alias (not your full name)
    • Reduced visibility while still allowing participation

    Important notes about Private profiles:

    • Other users can still follow you in their activity feeds
    • You can still be found through direct search by name or alias in private messaging
    • Your collaborative activities remain visible, but under your alias

    Best for: Users requiring anonymity, privacy protection, or limited public visibility.

    Step 4: Save Your Profile Changes

    1. Review all the information you've entered
    2. Click Save Changes to apply your profile updates

    Your profile information is now visible to other users according to your privacy settings.


    Step 5: Upload Your Profile Picture (Optional)

    A profile picture helps others recognize you and makes your profile more engaging.

    1. Locate the Profile Picture area on your Social Profile page
    2. Hover over the Profile Picture pane – a camera icon will appear
    3. Click the camera icon
    4. Click Choose a Photo (or Upload file depending on your portal version)
    5. Select an image file from your computer (JPG or PNG format recommended)
    6. Click Open
    7. Crop your photo by dragging and resizing the selection box to create a thumbnail
    8. Click Save to apply your profile picture

    Profile Picture Recommendations:

    • Use a clear, professional headshot
    • Square images work best (minimum 400×400px recommended)
    • Ensure good lighting and minimal background distraction
    • File size should be reasonable (under 2MB)

    Step 6: Upload Your Cover Picture (Optional)

    A cover picture personalizes your profile and adds visual interest.

    1. Locate the Cover Picture pane at the top of your Social Profile
    2. Click the camera icon in the top left corner of the Cover Picture pane
    3. Click Upload Photo
    4. Select an image file from your computer
    5. Click Open to upload

    Cover Picture Recommendations:

    • Recommended dimensions: 1200px wide × 280px high
    • Resize your image to these exact dimensions before uploading to avoid cropping issues
    • Choose images that represent your brand, interests, or organizational identity
    • Center important visual elements (avoid placing key content near the edges)

    Note: If your cover image doesn't fit correctly in the pane, you may need to adjust the image dimensions using photo editing software before re-uploading.

    Understanding Privacy Settings in Detail

    Public Profile Features

    When you set your profile to Public, you enable:

    Full Visibility: All profile fields are visible to any portal user
    Directory Presence: Your profile appears in search results and the People Directory
    Networking: Others can easily discover and connect with you
    Activity Tracking: Your posts, comments, and activities display with your full name
    Professional Identity: Full transparency supports organizational networking

    Use Public profiles when:

    • Building professional relationships is important
    • You want to be discoverable by colleagues, partners, or customers
    • Your role involves community engagement or thought leadership
    • You're comfortable with organizational visibility

    Private Profile Features

    When you set your profile to Private, you enable:

    🔒 Limited Visibility: Only Alias, Title, and About Me are visible
    🔒 Directory Exclusion: Profile does not appear in the People Tab or search results
    🔒 Anonymous Posting: All posts and comments display under your alias
    🔒 Selective Engagement: Users can still follow your feed activities
    🔒 Privacy Protection: Maintains anonymity while allowing participation

    Important Private profile behaviors:

    • You can still be found in private messaging by searching your name or alias
    • Your collaborative activities (likes, comments, follows) remain visible, but attributed to your alias
    • Users can still follow you, but won't see your full profile details

    Use Private profiles when:

    • You require anonymity for sensitive discussions
    • Your role requires privacy protection
    • You want to participate without revealing your identity
    • Organizational policies require limited visibility

    Troubleshooting

    Problem: "Edit Profile" button is not visible

    Possible causes:

    • Missing required permissions
    • Social Collaboration disabled for your Security Role
    • Social Collaboration not enabled at the portal level

    Solution:

    1. Verify you have the following permissions:
      • All Entities, User (system), Edit: Private
      • Other Settings, Social Collaboration: Enabled
    2. Contact your portal administrator if you don't have these permissions
    3. Ask your administrator to verify Social Collaboration is enabled for the portal

    Problem: Profile picture appears distorted or cropped incorrectly

    Solution:

    1. Use square images for best results (e.g., 400×400px or 800×800px)
    2. Adjust the crop tool by dragging and resizing the selection area during upload
    3. Try a different image with better composition and less background clutter
    4. Verify file format: Use JPG or PNG files (avoid BMP or TIFF formats)
    5. Check file size: Keep images under 2MB for optimal upload performance

    Problem: Cover picture doesn't fit properly in the pane

    Solution:

    1. Resize your image to exactly 1200px wide × 280px high before uploading
    2. Use image editing tools such as:
      • Free online tools: Canva, Pixlr, Photopea
      • Desktop software: Photoshop, GIMP, Paint.NET
      • Built-in tools: Windows Photos, Mac Preview
    3. Center important content in your image to avoid edge cropping
    4. Test the upload: If it still doesn't fit, try exporting at a slightly larger dimension (e.g., 1400×300px) and let the system scale down

    Problem: Privacy settings don't seem to be working as expected

    Solution:

    1. Verify Social Collaboration is enabled:
      • Check with your administrator that Social Collaboration is enabled at the portal level
      • Confirm your Security Role has Social Collaboration enabled
    2. Clear your browser cache and hard refresh (Ctrl+Shift+R on Windows, Cmd+Shift+R on Mac)
    3. Test in an incognito window to rule out browser caching issues
    4. Check with another user: Ask a colleague to search for your profile and confirm what they can see
    5. Contact support if the issue persists with screenshots showing the privacy setting and what's visible

    Problem: Can't upload images – upload fails or times out

    Solution:

    1. Check file size: Reduce image file size to under 2MB
    2. Verify file format: Use JPG or PNG (avoid unusual formats)
    3. Check your internet connection: Upload may fail on slow or unstable connections
    4. Try a different browser: Some browsers handle uploads better than others
    5. Disable browser extensions that might interfere with uploads (ad blockers, security extensions)
    6. Contact your administrator if the problem persists – there may be upload restrictions configured

    Keep your profile current – update your title, bio, and photos as your role evolves

    Use a professional tone in your "About Me" section – this represents you to the organization

    Choose Public for networking: If collaboration and visibility are important to your role, use Public settings

    Choose Private for anonymity: Use Private settings when privacy is required but you still want to participate
