About the Document Library Module

The Document Library module stores and manages files in folders uploaded to the Magentrix portal. The Document Library module acts as a comprehensive data storage repository on the Magentrix portal. Social collaboration can be enabled with the Document Library module to enhance user engagement, file sharing capabilities, and collaborative workflows across employee, partner, and customer communities.

Key Capabilities

File Storage and Management Features

Comprehensive File Support: Users can upload any file type with a 4GB size limit per asset directly to folders within the Document Library. Files must be placed in folders and cannot be uploaded to the root directory.

Version Control: Automatic version tracking when files with identical names are uploaded, with capabilities for version history management, reversion to previous versions, and individual version deletion.

Multiple Content Types: Support for various content creation including documents, notes, snippets, bookmarks, marketing links, email templates, and YouTube/Vimeo video links for comprehensive content management.

Storage Flexibility: Files can be stored directly on the portal (counting against storage limits) or linked externally to prevent using Magentrix portal storage space.

Folder Organization and Structure

Hierarchical Organization: Folders provide organizational structure with unlimited nesting depth for flexible content arrangement and logical groupings.

Custom Folder Settings: Configurable folder properties including sorting options (by Name, Created Date, Modified Date), sort direction (Ascending/Descending), owner assignment, and collaboration controls.

Visual Permission Indicators: Folder icons display sharing status - globe for public folders, silhouettes for shared folders, and blank icons for private folders.

Flexible Folder Management: Move, copy, edit, and delete capabilities with comprehensive folder lifecycle management.

Sharing and Permission Controls

Granular Permission Levels: Three-tier permission system with Can View (read-only), Can Upload (view and add content), and Full Control (complete management access) options.

Flexible Sharing Options:

  • Visible only to owner (private access)
  • Visible to all users (portal-wide access)
  • Visible to certain groups of users (targeted access to specific users, User Groups, or Security Roles)

Owner-Based Control: Folder creators maintain full control over their folders alongside administrator access rights.
