Requirements

To configure course settings, users must be assigned a security role with one of the following permissions:

  • Administrator System Role
  • Access Level: Training Manager, Manage Courses

  1. Navigate to the Training module from your portal navigation menu
  2. Click the Courses tab in the primary navigation
  3. Click the course name requiring settings configuration

Status

Dropdown field controlling course visibility and learner accessibility.

Purpose: Manages course publication state determining whether learners can discover and access course content.

Options:

Draft: Course is under development and not visible to learners. Allows content creation, testing, and quality review before publication. Status automatically selected if course contains no content at creation.

Published: Course is active and visible to learners based on sharing settings. Enables learner enrollment, course access, and progress tracking. Can be modified while published with changes reflected immediately.

Configuration Guidance:

  • Maintain Draft status during initial development and major content revisions
  • Publish courses only after content completion, testing, and quality validation
  • Return courses to Draft status when significant modifications require learner access suspension
  • Communicate course status changes to affected learners when Published courses undergo updates
  • Verify course content exists before attempting to publish (system prevents publishing empty courses)

Manager

Lookup field assigning user receiving course notifications and maintaining administrative oversight.

Purpose: Designates course owner receiving course request notifications, completion alerts, and administrative communications.

Configuration Guidance:

  • Assign manager when course ownership should differ from course creator
  • Select user with appropriate availability and expertise for course administration

Manager Responsibilities:

Course Access and Registration Settings

Course Settings section controls learner enrollment workflows, content access behaviors, and navigation options affecting learner experience and course accessibility.

Enable Self Registration

Purpose: Determines whether learners can enroll immediately or must request course access with administrator approval.

Checked: Learners can enroll immediately in course without administrator approval, supporting autonomous learning and reducing administrative overhead.

Unchecked (default): Learners must request course access with administrator approval required before enrollment, enabling controlled access and prerequisite verification.

Enable Self Registration When:

  • Course has no prerequisites requiring verification before enrollment
  • Content is widely available without capacity constraints or restricted access

Disable Self Registration When:

Allow Course Review

Checked: Learners can access course content after completion for review and reference, supporting knowledge reinforcement and ongoing resource utilization.

Unchecked (default): Learners lose course access after completion, preventing post-completion review.

Enable Course Review When:

Language

Category

Dropdown field assigning course to predefined category for organizational grouping.

Purpose: Classifies courses into categories supporting learner browsing, catalog organization, and content discovery.

Configuration Guidance:

  • Select category matching course subject matter, audience, or purpose from configured category list
  • Use consistent category assignment to support intuitive learner browsing and course discovery
  • Coordinate category selection with training catalog organization strategy

Available Categories: Categories are configured in Training Module Settings under Manage Course Categories, enabling organizational customization of classification scheme.

Take Modules In Any Order

Time Span Configuration

When Time Span is selected, additional numeric field appears for day count specification.

Purpose: Defines number of days after course assignment when course must be completed.

Compliance Settings
