Navigation Menu Checklist

To deploy organized, role-appropriate navigation for partners, customers, and employees, Navigation Menu must be properly configured with Menu Items, Apps, and appropriate sharing and role assignments. Navigation Menu provides structured portal navigation experiences that guide users to relevant content and functionality while maintaining visibility controls across organizational communities.

Foundation Setup

Understanding Navigation Menu Familiarize yourself with comprehensive navigation capabilities including the relationship between Apps and Menu Items, five Menu Item types (Entity, Active Page, Link, Web, Feature), two-level nested navigation through Folders, role and group-based visibility controls, and App Selector functionality for end users. Understand how Navigation Menu integrates with security roles, user groups, and platform features to create tailored navigation experiences.

Planning Navigation Structure Before creating Menu Items and Apps, plan your navigation strategy by identifying user communities (partners, customers, employees, administrators), determining which content and functionality each community needs to access, and designing logical groupings using Folders. Consider how different security roles map to navigation requirements and whether multiple Apps are needed for distinct user experiences.

Menu Item Creation and Management

Creating Entity Menu Items Create Entity Menu Items to provide navigation to entity browse pages. Select from available entities that the administrator has access to and for which a Menu Item does not already exist. Configure the Menu Item Unique Name, icon, Tool Tip and Description setting. Understand that Entity Menu Item visibility is controlled by system permissions on the underlying entity.

Creating Active Page Menu Items Create Active Page Menu Items to provide navigation to configured Active Pages within the portal. Select from available Active Pages and configure the Menu Item label, unique name, icon, tool tip, description and Mobile Ready setting. Understand that Active Page Menu Item visibility depends on role and group access to the underlying Active Page.

Creating Link Menu Items Create Link Menu Items to provide navigation to custom or dynamic URLs. Configure the label, icon, Mobile Ready setting, and target URL. Use the entity selection, field selection, and functions and merge fields dropdowns to build dynamic URLs that incorporate user-specific or contextual information. Configure sharing to roles and groups to control visibility. See About Functions and Merge Fields for dynamic URL guidance.

Creating Web Menu Items Create Web Menu Items to display external web pages within an iframe inside the portal. Configure the label, icon, Mobile Ready setting, HTTPS URL, and content frame height. Configure sharing to roles and groups to control visibility. Ensure target URLs support iframe embedding and use HTTPS protocol.

Understanding Feature Menu Items Recognize that Feature Menu Items are automatically created by Magentrix when certain platform features are configured, including Article Types, Article Lists, Storefronts, Wikis, and other features. Understand that Feature Menu Items cannot be deleted, their labels and URLs cannot be modified, and only the icon can be customized. Visibility is controlled by the underlying feature permissions.

Sharing Configuration

Sharing Link Menu Items Configure sharing for Link Menu Items to control which users can see them in navigation. Add security roles and user groups to the sharing configuration. Understand that Link Menu Items must be shared to at least one role or group to be visible, even when assigned to an App.

Sharing Web Menu Items Configure sharing for Web Menu Items to control visibility. Add security roles and user groups to the sharing configuration. Like Link Menu Items, Web Menu Items require sharing configuration to be visible to users.

Sharing Requirement: Entity, Active Page, and Feature Menu Items do not support manual sharing. Their visibility is controlled by system permissions and underlying feature access. Only Link and Web Menu Items require sharing configuration.

App Creation and Configuration

Creating Apps Create Apps to define complete navigation experiences for user communities. Configure the App name, select an icon image for the App Selector display, optionally add a logo image and description for administrative reference. Access the Menu Builder to construct the navigation structure.

Building Navigation Structure with Menu Builder Use the drag-and-drop Menu Builder interface to construct App navigation. Add Menu Items from the available pool to the App structure. Create Folders to organize related Menu Items into logical groups. Arrange Menu Items and Folders in the desired display order. Remove Menu Items from the App by dragging them back to the available pool.

Creating Folders for Nested Navigation Create Folders within Apps to enable two-level nested navigation. Name Folders descriptively to communicate their contents. Drag Menu Items into Folders to create hierarchical organization. Understand that Folders automatically hide if none of their child Menu Items are visible to the current user.

Setting the Landing Menu Item Configure the landing Menu Item for each App to determine which page loads when users enter or switch to the App. Select a Menu Item that represents the most valuable starting point for users accessing that App. Ensure the selected landing Menu Item will be visible to users who have access to the App.

Assigning Apps to Roles and Groups Assign Apps to security roles and user groups to control which users can access them. Add all roles and groups whose members should see the App in the App Selector. Consider creating separate Apps for different user communities with distinct navigation needs.

Visibility Verification

Testing Navigation Across Roles Test navigation experiences by logging in as users with different security roles. Verify that appropriate Apps appear in the App Selector for each role. Confirm that Menu Items within Apps are visible based on sharing configuration and system permissions. Check that Folders with no visible children are properly hidden.

Verifying Landing Page Behavior Test that landing Menu Items load correctly when users enter or switch to each App. Ensure landing Menu Items are visible to all users who have access to the App to prevent unexpected behavior.

Validating Mobile Ready Settings If users access the portal in Mobile Mode, verify that Menu Items configured with Mobile Ready are accessible. Confirm that Menu Items without Mobile Ready enabled are appropriately hidden in mobile navigation.

Ongoing Management

Regular Review: Periodically review navigation structure to ensure alignment with organizational needs, user feedback, and evolving content availability.

Monitoring Feature Menu Items Monitor Feature Menu Items created by platform features and incorporate them into appropriate Apps. When new Article Types, Article Lists, Storefronts, Wikis, or other features are created, add the resulting Feature Menu Items to relevant Apps.

Updating Navigation for New Content As new entities, Active Pages, or content areas are added to the portal, create corresponding Menu Items and add them to appropriate Apps. Update Folder organization as navigation requirements evolve.

Managing Menu Item Sharing Review and update sharing configuration for Link and Web Menu Items as role and group structures change. Ensure new roles and groups are added to sharing configuration where appropriate.

Optimizing Navigation Structure Analyze user feedback and navigation patterns to identify optimization opportunities. Reorganize Menu Items and Folders to improve user experience. Update landing Menu Items to reflect the most valuable entry points for each App.
