Managing Posts

Administrators and publishers can create, edit, or delete Posts. They can also configure Version Control settings and approve, deny, or revise posts before they are published. Administrators have additional access to moderate comments and monitor post activity, while Publishers can edit, publish, and delete posts.

Requirements

To manage posts, users must be assigned one of the following permissions:

  • Administrator System Role permissions
  • Article Type Publish Access

Managing Posts by User Type

Accessing Posts

  1. Navigate to the Setup Home page
  2. Click Create > Articles
  3. Click the Article Type containing the posts you want to manage

Editing Posts

  1. Click the Post Subject you wish to edit
  2. Make the desired changes and then click Save

Deleting Posts

  1. Click the dropdown arrow beside the post you wish to delete under the Actions column
  2. Click Delete
  3. If prompted to confirm the deletion, click OK

Accessing Posts

  1. In the Setup Home page, click Create > Articles
  2. Click the Article Type containing the posts you want to manage

Editing Posts

  1. Click the dropdown arrow beside the post under the Actions column
  2. Click Edit
  3. Make the desired changes (see Creating Posts documentation for descriptions of the editable fields in a Post)
  4. Click Save

Cloning Posts

  1. Beside the Post you want to clone, click the dropdown arrow under the Actions column
  2. Click Clone
  3. On the next page, enter the post Subject and Summary and then click Clone
Result: You will be redirected to the post editor to edit the draft of the cloned article.

Moving Posts

  1. Beside the Post you want to move, click the dropdown arrow under the Actions column
  2. Click Move To
  3. Select the Article Type you want to move the Post to and then click Move
Important Note: The moved post will lose all categories and tags that are not found in the targeted article type.

Deleting Posts

  1. Beside the Post you want to delete, click the dropdown arrow under the Actions column
  2. Click Delete
  3. If prompted to confirm the deletion, click OK

Browsing Posts

  1. Beside any post, click the dropdown arrow under the Actions column
  2. Click Browse to view how the post appears to end users

Version Control and Revision History

Using Revision History

If Version Control is enabled for the article type of your post, administrators and publishers can view, delete, or revert back to an older version of the post. Older versions of the post will have the status of Archived and the current version of the post will have a Published status.

Creating New Versions After your post has been published:

  1. In the Post editor make any necessary changes to the content or settings of the post and click Save
  2. This will create a new version of your post as a draft
  3. Depending on your settings you can either publish this version or submit for approval
  4. In the Revision History tab you can browse (view), delete or revert to draft of the previous versions of your post
Reverting to Previous Versions Revert to draft creates a copy of the archived version as a new version. The current version is then archived.

Important Version Control Notes

  • Version Numbering: Post versions will be numbered according to their submission history in a box beside their name - V1, V2, etc.
  • Permalink Updates: Changing the subject of your post while in draft will update the permalink link of the published post. The user will receive a warning of permalink update to avoid link breakage.
  • Post Visibility: If you want to withdraw access to a post, reverting to a draft will remove it from display regardless of the version.

Best Practices

  • Content Backup: Use cloning functionality to create backup copies before making significant changes
  • Version Management: Regularly review and clean up old versions to maintain system performance
  • Category Planning: Plan category and tag structure before moving posts between Article Types
  • Permalink Stability: Avoid changing post subjects after publication to maintain link integrity
