Post Tagging

Post Tags are keywords that can be given to Posts. Administrators can attach tags to group and categorize Posts. Tags are important to increase the searchability of a Post. Users can view all the posts within the article type grouped by relevant tags. "Popular Tags" also displays posts by the most commonly used tags.

Requirements

To create and edit Post Tags, users must have the following permissions:

  • Administrator System Role permissions

Note: Contributors and publishers can assign existing tags to posts and create new tags while writing posts, but cannot manage tags through the administrative interface.

Enabling Post Tags

To Enable Post Tags

  1. In the Setup Home page, click Create > Articles
  2. Click on the Article Type you want to enable Post Tagging
  3. Select the Settings Tab
  4. In the Settings pane, check Enable Post Tags
  5. Click Save

To Enable Popular Tags

  1. In the Setup Home page, click Create > Articles
  2. Click on the Article Type you want to enable Popular Tags
  3. Select the Layout Tab
  4. On the right sidebar, check Show Popular Tags
  5. Click Save Changes

Result: Popular Tags become visible to all users who can view the Article Type, displaying posts organized by the most commonly used tags.

Managing Post Tags

To Create A New Tag

  1. In the Setup Home page, click Create > Articles
  2. Click the Article Type you want to add a new tag
  3. Select the Tags Tab and then click New Tag
  4. Enter the name of the Tag you want to add and click Save

To Manage Post Tags

  1. In the Setup Home page, click Create > Articles
  2. Click the Article Type you want to manage
  3. Select the Tags Tab
  4. In the Tags tab, you can view and edit all the tags within the article type
  5. The Use Count Column indicates how many times a tag is used within an article type
  6. Click the arrow under the Actions column beside the tag to edit or delete

Important Notes:

  • Changing the tag name will update all posts under the previous tag name
  • When a tag is deleted, posts lose that tag assignment
  • Contributors and publishers can attach pre-defined tags to posts and create new tags while writing posts
  • Multiple tags can be assigned to a single post

Tag Searchability

Tags function as clickable links that allow users to filter and find other posts with the same tag within the article type, improving content discoverability and navigation.

Popular Tags Display

When enabled, Popular Tags appear in the sidebar showing the most frequently used tags, helping users discover trending topics and commonly discussed subjects.

Best Practices

  • Consistent Naming: Use standardized tag naming conventions to avoid duplicate or similar tags
  • Strategic Planning: Plan core tags before content creation to ensure consistency
  • Usage Monitoring: Review the Use Count column to identify popular topics and unused tags
  • User Training: Educate contributors and publishers on effective tagging practices
  • Tag Cleanup: Periodically review and consolidate similar or redundant tags

Integration with Other Features

Post Tags work seamlessly with:

  • Posts: Multiple tags can be assigned to each post during creation or editing
  • Article Types: Tags are specific to individual Article Types
  • User Navigation: Tags provide clickable filtering and content discovery
  • Popular Tags: Display most commonly used tags for trend identification
  • Layout Configuration: Tag display can be controlled through Layout settings
