Creating Courses in the Training Module

The Training Module enables administrators to create comprehensive courses that provide structured learning experiences for partners, customers, and employees. Course creation establishes the foundational structure, settings, and configuration that control how learners access and progress through training content, supporting diverse training scenarios from simple informational courses to complex compliance programs with assessment requirements.

Creating a course establishes the course record with essential metadata, access controls, and learner experience settings before content development begins. Administrators configure course information, enrollment options, progression rules, due date requirements, and compliance settings during course creation, with the ability to modify these settings as training needs evolve.

Requirements

To create courses, users must be assigned a security role with one of the following permissions:

Administrator System Role

Access Level: Training Manager, Manage Courses

Creating a Course

1. Navigate to the Training module from your portal navigation menu

2. Click the Courses tab in the primary navigation

3. Click the Create Course button in the upper right corner

4. Complete the Course Information section with required and optional fields

5. Configure Course Settings for learner experience preferences

6. Set Display Settings to control course organization and visibility

7. Establish Due Date requirements if courses must be completed within specific timeframes

8. Configure Compliance settings for regulatory or certification training

9. Click Save to create the course record

10. Navigate to course Contents tab to begin adding chapters, lessons, and quizzes

Course Information

The Course Information section contains essential course metadata and identification fields that define the course record and support course discovery.

Name

Required field that establishes the primary course identifier displayed to learners and administrators

Enter descriptive, meaningful course title that clearly communicates learning objectives

Use consistent naming conventions across courses for organized course catalog management

Consider including topic, level, or audience information in course names for clarity

Description

Optional field providing detailed course overview and learning outcome summary

Enter comprehensive description explaining what learners will achieve through course completion

Include target audience, prerequisites, key topics, and expected outcomes

Use clear, engaging language that motivates learners and sets appropriate expectations

Price

Optional field for paid training programs requiring learner payment

Enter course price when charging for training content or certification programs

Leave blank for free courses available to all qualified learners

Coordinate with payment processing systems to enable course purchase workflows

Reference Code

Optional field providing shortened course identifier for reporting and communication

Enter brief alphanumeric code that learners and administrators can use to reference courses

Use consistent reference code format across training catalog for standardized identification

Include reference codes in certificates, transcripts, and reporting for formal course tracking

Status

Required field controlling course visibility and learner access

Draft: Course is under development and not visible to learners. Allows content creation, testing, and quality review before publication. Automatically selected if course contains no content.

Published: Course is active and visible to learners based on sharing settings. Enables learner enrollment, course access, and progress tracking. Can be modified while published with changes reflected immediately.

Use Draft status during initial development and major content revisions

Publish courses only after content completion, testing, and quality validation

Language

Required field indicating primary course language for content and interface

Select language matching course content to support learner understanding and accessibility

Create separate course versions for different languages rather than mixing languages within courses

Coordinate language selection with learner language filtering preferences in portal settings

Survey

Optional field linking feedback survey for post-completion learner input

Select pre-configured survey to automatically prompt learners for feedback after course completion

Use surveys to gather content quality feedback, relevance assessments, and improvement suggestions

Leave blank if course completion feedback is not required or managed through external systems

Course Settings

Course Settings control the learner experience, navigation options, and enrollment workflows, defining how learners interact with course content and access training materials.

Take Modules In Any Order

Checkbox setting controlling lesson sequence requirements

Checked: Learners can access lessons in any order, supporting flexible self-paced learning and non-linear content exploration

Unchecked: Learners must complete lessons sequentially in administrator-defined order, enforcing progressive knowledge building

Enable for reference materials, resource libraries, and content without knowledge dependencies

Disable for structured training requiring progressive skill development or concept mastery

Course Contents Sidebar Closed

Checkbox setting controlling course navigation sidebar visibility

Checked: Course contents sidebar is hidden during lesson viewing, providing distraction-free learning interface

Unchecked: Course contents sidebar displays chapter and lesson navigation during course access

Hide sidebar for linear courses where navigation distraction reduces learning effectiveness

Display sidebar for complex courses where learners benefit from constant navigation awareness

Allow Course Review

Checkbox setting controlling post-completion course access

Checked: Learners can access course content after completion for review and reference purposes

Unchecked: Learners lose course access after completion, preventing post-completion review

Enable for reference materials, job aids, and content with long-term value

Disable for compliance training or certification courses when post-completion access is inappropriate

Enable Self Registration

Checkbox setting controlling learner enrollment workflow

Checked: Learners can enroll immediately without administrator approval, supporting autonomous learning

Unchecked: Learners must request course access with administrator approval required before enrollment

Enable for widely available courses without prerequisites or capacity constraints

Disable for restricted courses, prerequisite-dependent training, or capacity-limited programs

Category

Dropdown field assigning course to predefined category for organizational grouping

Select category matching course subject matter, audience, or purpose from configured category list

Use consistent category assignment to support learner browsing and course discovery

Categories include common classifications like Sales, Master, Certification, Continuing Learning, or custom organizational categories

Owner

Lookup field assigning course owner receiving notifications and maintaining administrative oversight

Enter user name if course ownership should differ from course creator

Course owners receive course request notifications, completion alerts, and administrative communications

Leave blank to automatically assign course ownership to course creator

Display Settings

Display Settings are configured within the Course Settings section and control course presentation to learners.

Category

As described in Course Settings section above, category assignment supports course organization and learner navigation through training catalog

Due Date

Due Date settings establish completion timeframe requirements, supporting accountability and program scheduling while enabling flexible completion windows appropriate to course complexity and learner availability.

Must Complete By

Dropdown field defining course completion timeframe

Options include:

No Due Date: Learners can complete course at their own pace without deadline pressure

Time Span: Learners must complete course within specified number of days after assignment

Select Time Span and enter day count to enforce completion windows

Use due dates for compliance training, onboarding programs, and time-sensitive content

Leave blank for reference materials and non-critical training without completion urgency

Compliance

Compliance settings support regulatory training requirements and certification management through automated expiration tracking and reassignment workflows that ensure learners maintain current knowledge and credentials.

Compliant For

Dropdown field defining how long course completion remains valid

Options include:

Forever: Course completion never expires, supporting one-time training without recertification requirements

90 Days: Course completion expires after 90 days

6 Months: Course completion expires after 6 months

1 Year: Course completion expires after 1 year

2 Years: Course completion expires after 2 years

Other: Custom compliance period with administrator-specified duration

Select compliance period matching regulatory requirements or organizational certification policies

Coordinate compliance settings with automatic retake scheduling to ensure continuous certification

Automatic Retake

Dropdown field defining when learners receive automatic course reassignment before compliance expiration

Select number of days before compliance expiration when system automatically reassigns course

Options typically include 7 days, 14 days, 30 days, or custom intervals before expiration

Automatic reassignment ensures learners maintain current certifications without manual administrator intervention

Leave blank if automatic retake is not desired or compliance is managed through external systems

Reassign When Users Fail

Checkbox setting controlling automatic reassignment upon course failure

Checked: System automatically reassigns course immediately when learners fail, providing immediate retry opportunities

Unchecked: Failed learners do not receive automatic reassignment and must request or be manually reassigned

Enable for critical compliance training where failure requires immediate remediation

Disable when failure requires instructor intervention, prerequisites, or scheduled retry management

Saving Courses

Save Button

Click Save to create course record and navigate to course details page for content development

Courses must be saved before adding chapters, lessons, quizzes, or other content elements

Saved courses appear in Courses list with configured status, category, and metadata

Save & New Button

Click Save & New to create current course record and immediately open new course creation form

Supports efficient bulk course creation when developing multiple courses in sequence

Current course saves automatically before new course form displays

Cancel Button

Click Cancel to discard course creation and return to Courses list without saving

Cancellation discards all entered information without creating course record

Use Cancel if course creation is premature or incorrect information was entered

Next Steps After Course Creation

After creating and saving the course record, administrators proceed with content development and configuration:

1. Navigate to Contents tab to add chapters structuring course content organization

2. Add lessons within chapters including text, files, videos, embedded content, and quizzes

3. Configure course Settings for detailed preferences including manager assignment and additional options

4. Upload course picture in Course Picture tab for visual course identification

5. Add certificate template in Course Certificate tab for completion credential distribution

6. Attach reference materials in References tab for supplementary learner resources

7. Configure Sharing Options to control course visibility across user communities

8. Change status to Published when course development is complete and ready for learner access

9. Assign users through Users tab or enable self-registration for autonomous enrollment

Status Management

Maintain courses in Draft status until content development, testing, and quality review are complete

Publish courses only after validating content accuracy, assessment fairness, and navigation effectiveness

Return courses to Draft status during major content revisions to prevent learner confusion

Communicate course status changes to affected learners when Published courses undergo updates

Compliance Program Management

Set compliance periods matching regulatory requirements and organizational certification policies

Configure automatic retake scheduling to ensure continuous learner certification without gaps

Enable failure reassignment for critical compliance training requiring immediate remediation

Monitor compliance expiration dates through reporting to verify automatic workflows function correctly

Troubleshooting Tips

Cannot Create Course

Verify you have Training Manager permissions with Manage Courses access at appropriate scope

Confirm you are navigating to correct Training module section and clicking Create Course button

Check for system errors or permission messages indicating access restrictions

Contact system administrator if permission verification does not resolve issue

Course Not Appearing After Creation

Verify course was saved successfully and did not encounter validation errors

Check Courses list and use search function to locate newly created course

Confirm course sharing settings allow your visibility based on ownership and permissions

Refresh browser page to ensure course list displays current data

Status Automatically Changes to Draft

System automatically sets status to Draft if course contains no content at creation time

Add at least one chapter with lesson or quiz content before attempting to publish course

Verify content was saved successfully before changing status to Published

Return to Contents tab to add required course content before publication

Compliance Settings Not Saving

Verify all required compliance fields are completed before saving course

Ensure automatic retake days are less than total compliance duration

Check for validation error messages indicating field completion requirements

Save course after completing all compliance configuration to persist settings

Note: These settings can be changed at any time, even once the Course Status has been set to Published.
 
Sharing and Compliance settings can only be configured after courses are created.
