Email Notification Workflow

When configured, the email notification system works as follows:

  • Trigger: Email is sent automatically when a business plan status is changed from "Draft Outline" to "Draft"
  • Recipients: Email is sent to Primary Partner Users associated with the business plan
  • Template: Uses the selected email template to format the notification
  • Purpose: Invites partners to review and collaborate on the business plan in the portal

Best Practices

  • Module Activation: Activate the Business Planning module before attempting to create or configure business plans
  • Template Selection: Choose an email template that clearly communicates the business plan review request and includes relevant portal access information
  • Email Content: Ensure selected email templates contain appropriate branding and clear instructions for partners
  • Testing: Test email notifications with sample business plans to verify proper delivery and formatting
  • Template Management: Create custom email templates if the default options don't meet your organization's communication needs

Integration with Business Plan Workflow

Email notifications are integrated into the business plan status workflow:

  • Draft Outline: No notifications sent (partners cannot access)
  • Draft: Email notification sent to partners for review
  • In Progress: Partners can continue accessing without additional notifications
  • Completed: No additional notifications sent

The email notification configuration supports the collaborative nature of business planning by ensuring partners are promptly informed when their input and review are needed.
