Configuring Marketplace Permissions

Administrators can configure which users or user groups can view, publish listings, moderate, or manage individual marketplaces through comprehensive permission management systems that support granular access control and role-based functionality. Users with only viewing permissions are typically customers while users with listing publishing permissions are typically partners. Users with moderator permissions can view and approve listing reviews and can approve or reject marketplace listings. Managers, in addition to moderation tools, can analyze the marketplace and configure its settings.

By default, marketplaces are Private - only the owner can view and manage the marketplace. Administrators must configure sharing permissions to allow other users to view or manage the marketplace. This permission framework ensures appropriate access control while supporting diverse organizational structures and business requirements across different marketplace implementations.

The permission system integrates with Magentrix security roles and user group management to provide scalable access control that accommodates organizational growth and changing business requirements while maintaining security and operational efficiency.

Requirements

To share and change marketplace permissions, users must have a role with the following permissions:

Navigation to Permission Settings

1. In the Setup Home page, click Create > Marketplace
2. Next to the marketplace for which you want to change permissions, click Share
3. Access the comprehensive permission management interface

Basic Permission Configuration

Initial Permission Setup

If the marketplace permissions have not been previously configured, it will show as "Private". To configure initial permissions:

1. Beside the "Private" status, click the Change button
2. Select one of the following base permission options
3. Click Done to apply base permission configuration

Base Permission Options

All Users:

• All employee or community users can access the marketplace
• Provides broad organizational access for internal marketplace usage
• Includes both internal employees and community members
• Suitable for general organizational marketplaces and broad partner access

All Internal Users:

• Anyone in your organization can find and access the marketplace
• Restricts access to internal organizational users only
• Excludes external community members and partners
• Appropriate for internal-facing marketplaces and employee-only content

Specific People:

• Specified users can access the marketplace
• Enables targeted marketplace deployment and controlled access
• Define which users or user groups can access the marketplace by searching in the lookup bar
• Search by name, role, or group for precise access control
• Most granular permission option for specialized marketplace implementations

User and Group Assignment

Individual User Assignment:

• Add specific users to marketplace permissions through user lookup functionality
• Search by user name to locate and assign individual access rights
• Individual assignment provides precise control for key stakeholders and specialized roles

User Group Assignment:

• Assign permissions to entire user groups for scalable access management
• User group assignment automatically includes current and future group members

• Add guest security roles to enable public web access without sign-in requirements
• Note: Sign-in is required to submit reviews regardless of guest access configuration

Permission Level Configuration

For each user, user group, or security role, configure specific permission levels through the dropdown beside the name/role:

View Permission:

• Users can only view the marketplace and browse available listings
• No content creation, modification, or administrative capabilities
• Appropriate for customers, prospects, and general marketplace visitors
• Provides read-only access to marketplace content and functionality

Publish Listings Permission:

• Users can create, modify, delete, publish, and unpublish their own listings
• Users can create and modify their vendor profile information
• Includes content management capabilities for owned listings
• Customer portal users cannot be assigned this role
• Appropriate for partners, vendors, and content contributors

Moderate Permission:

• Users can approve reviews and listings submitted by other users
• Includes all viewing capabilities plus content approval workflow management
• Access to moderation interface and approval/rejection tools
• Supports content quality control and governance processes
• Appropriate for content managers and quality assurance roles

Manage Permission:

• Users have all permissions listed above plus comprehensive administrative access
• Can change marketplace settings and configuration options
• Can create, modify, and delete any vendor profile regardless of ownership
• Full marketplace administrative capabilities including analytics and reporting
• Appropriate for marketplace administrators and senior management roles

Public and Guest Access Configuration

Guest Security Role Management

Public Web Access:

• Add guest security roles to enable public marketplace access without authentication
• Guest access supports marketing objectives and broad marketplace visibility
• Consider content sensitivity and business objectives when enabling public access
• Public access users cannot submit reviews or perform authenticated actions

Authentication Requirements:

• Review submission requires user authentication regardless of guest access configuration
• Lead generation and contact forms may require authentication based on configuration
