Creating and Managing Popup Alerts

Administrators can create and manage popup alerts to display targeted messages, announcements, surveys, and promotional content to portal users. Popup alerts provide comprehensive customization options including visual styling, audience targeting, scheduling controls, and detailed analytics to ensure effective communication and user engagement.

Requirements

To create and manage popup alerts, users must be assigned a security role with the following permissions:

Administrator System Role permissions for full popup alert management capabilities

Additional Settings: Access Popup Alerts Enabled - This permission is available only for Employee roles and must be enabled in the Security Role configuration under the Additional Settings tab. Users with this permission can create and manage popup alerts.

Note: No special permissions are required for users to view popup alerts. Alert visibility is determined by the audience filtering criteria configured by administrators.

Creating Popup Alerts

Initial Setup Process

  1. Navigate to the Setup Home page and click Create > Popup Alerts
  2. Click New to create a new popup alert
  3. Complete the basic information fields and save to begin configuration

Managing Popup Alerts

  1. Navigate to the Setup Home page and click Create > Popup Alerts
  2. Click on the name of an existing Popup Alert you want to manage

Deleting Popup Alerts

  1. Navigate to the Setup Home page and click Create > Popup Alerts
  2. Click on the action drop down button next to the name of an existing Popup Alert you want to delete
  3. Select the Delete action
  4. Confirm deleting the Popup Alert

Basic Configuration Requirements

Name Field: Enter a descriptive internal name for the popup alert used for administrative reference and organization. This name is not visible to end users but helps administrators identify and manage multiple popup campaigns.

Title Field: Enter the heading text that will be displayed prominently at the top of the popup. This title should be clear, attention-grabbing, and aligned with the popup's purpose and call-to-action objectives.

Text Content: Use the rich text editor to create the main content that appears below the title. Support for formatting, lists, links, and basic styling enables creation of engaging, informative popup content that drives user action.

Configuring Style Settings

Size and Display Options

Popup Size Configuration:

  • Small: Compact popup suitable for brief notifications and simple messages
  • Medium: Standard size for most popup applications with balanced content space
  • Large: Expanded popup for detailed content and prominent messaging
  • Extra Large: Maximum content area for comprehensive information display
  • Full Width: Spans the entire width of the browser for maximum impact and visibility

Display Control Options:

  • Use Overlay: Enable to create a semi-transparent background that prevents interaction with the underlying page, ensuring user focus on the popup content
  • Display Close Button: Show an X button allowing users to manually close the popup without performing the call-to-action

Media Integration

Media Upload Process:

  1. Click Add Media to access media selection options
  2. Select Media Type from the dropdown (Image or Video)
  3. Choose the media file from previously uploaded portal content
  4. Click Add to integrate the media into the popup design

Media Position Options:

  • Top: Media appears above the title and text content
  • Left: Media displays to the left of text content in a side-by-side layout
  • Right: Media appears to the right of text content for balanced visual composition

Media Management: Use the trash icon next to selected media to remove it from the popup. All media must be pre-uploaded to the portal before it can be used in popup alerts.

Setting Up Display and Content

Popup Positioning

Position Options: Configure where the popup appears on the user's screen:

  • Top Left, Top Center, Top Right: Upper portion of the screen
  • Middle Left, Middle Center, Middle Right: Center area of the screen
  • Bottom Left, Bottom Center, Bottom Right: Lower portion of the screen

Content Alignment: Control the alignment of text and heading content within the popup:

  • Left: Left-aligned content for standard reading patterns
  • Middle: Centered content for balanced, formal presentation
  • Right: Right-aligned content for specific design requirements

Content Configuration

Title Management: The title field creates the primary heading displayed at the top of the popup. Use clear, concise language that immediately communicates the popup's purpose and value proposition.

Text Editor Features: The rich text editor supports:

  • Text formatting including bold, italic, underline, and strikethrough
  • Bullet points and numbered lists for organized information presentation
  • Hyperlinks to external resources or internal portal pages
  • Text alignment and styling options for professional presentation

Configuring Action Settings

Button Configuration

Button Label: Enter the text that appears on the call-to-action button. Use action-oriented language that clearly indicates what will happen when users click the button.

Button Action Types:

  1. Display a thank you message: Shows a custom message after button click
  2. Load a new page: Redirects users to a specified URL
  3. Close the pop-up: Simply closes the popup without additional action

Action Types

Thank You Message Configuration:

  • Select "Display a thank you message" from the Button Action dropdown
  • Use the Thank You Message rich text editor to create the message displayed after button click
  • The thank you message appears in place of the original popup content
  • Support for formatting and styling maintains consistent presentation

Page Redirection Setup:

  • Select "Load a new page" from the Button Action dropdown
  • Enter the complete URL in the Button URL field
  • Choose Button Target behavior:
    • Existing Window: Opens the URL in the current browser tab
    • New Window: Opens the URL in a new browser tab or window

Simple Dismissal:

  • Select "Close the pop-up" to create a button that simply closes the popup
  • No additional configuration required for this action type
  • Useful for informational popups that don't require specific user action

Publishing and Scheduling

Publishing Controls

Active Status: Enable the Active checkbox to make the popup alert visible to users. Disabled popups remain in draft status and are only visible to administrators with appropriate permissions.

Target Page URL Configuration:

  • Leave blank to display the popup on all portal pages
  • Enter a specific URL to target the popup to particular pages
  • Supports partial URL matching (e.g., /products matches /products/shoes)
  • Does not support wildcard patterns or complex URL matching rules

Frequency Settings

Show Again Options:

  • Every Session: Display the popup once per user login session, hiding it after initial view or interaction until the next login
  • On Every Page: Display the popup persistently until the user performs a dismissal action such as clicking the call-to-action button or close button

Dismissal Configuration:

  • Stop showing after user clicked: Enable to permanently hide the popup after the user clicks the call-to-action button
  • Stop showing after user closed: Enable to permanently hide the popup after the user clicks the close button (if enabled)

Date Scheduling:

  • Publish Start Date: Optionally set when the popup should begin appearing to users
  • Publish End Date: Optionally set when the popup should stop appearing to users
  • Date controls work independently of frequency settings and user interaction behavior

Audience Targeting

Filter Configuration

Available Filter Fields: Popup alerts can be targeted based on any field in the user record including:

  • Standard fields: Role, Account, Contact information, Active status
  • Custom fields: Organization-specific user attributes and data
  • Formula fields: Calculated fields that can reference related Account, Contact, and Role data

Filter Operators: Each targeting rule supports multiple comparison operators:

  • equals: Exact match for the specified value
  • not equals to: Excludes users with the specified value
  • greater than, less than: Numerical and date comparisons
  • greater or equal, less or equal: Inclusive numerical and date ranges
  • contains: Partial text matching within field values
  • does not contain: Excludes users with partial text matches
  • starts with, does not start with: Text prefix matching and exclusion

Advanced Targeting

Filter Logic Configuration: Use the Filter Logic field to create complex targeting rules:

  • Default logic: "1 OR 2 OR 3 OR 4 OR 5" displays popup to users matching any filter condition
  • Custom logic: Create specific combinations using AND/OR operators
  • Example: "(1 OR 2) AND 3" requires users to match filter 3 AND either filter 1 or filter 2

Multiple Filter Setup:

  1. Click the chain icon to add additional filter rows
  2. Configure Field, Operator, and Value for each targeting rule
  3. Adjust Filter Logic to define how multiple conditions interact
  4. Test targeting logic with different user scenarios before publishing

Analytics and Performance

Performance Metrics: The Analytics tab provides comprehensive engagement data including:

  • Total Views: Number of times the popup has been displayed to users
  • Total Clicks: Number of call-to-action button clicks
  • Click-Through Rate: Percentage of views that resulted in button clicks
  • Individual User Data: Detailed breakdown showing specific users, their view counts, and click counts

Data Visualization: Analytics are presented in both graphical format showing trends over time and tabular format listing individual user interactions for detailed analysis and campaign optimization.

Content Strategy: Create clear, compelling popup content with strong value propositions and specific call-to-action language that drives desired user behaviors and measurable outcomes.

Audience Targeting: Use precise targeting criteria to ensure relevant messaging reaches appropriate user segments rather than displaying generic popups to all users, which can reduce engagement effectiveness.

Frequency Management: Balance message visibility with user experience by selecting appropriate frequency settings and dismissal configurations that maintain engagement without creating popup fatigue.

Visual Design: Choose popup sizes and positioning that complement your portal design while ensuring message visibility and user accessibility across different devices and screen sizes.

Troubleshooting Tips

Popup Not Displaying: Verify that the popup is set to Active status, check date scheduling settings, and confirm that current user meets audience targeting criteria.

Incorrect Audience Targeting: Review filter logic configuration and test with sample user records to ensure targeting rules work as expected.

Media Not Appearing: Confirm that media files are properly uploaded to the portal and that media position settings are configured correctly.

Button Actions Not Working: Verify URL formatting for page redirection actions and ensure thank you message content is properly configured for message display actions.

Analytics Data Missing: Allow sufficient time for user interactions and confirm that popup is actively displaying to users meeting targeting criteria.
