Configuring Resource Collection Settings

Administrators can configure comprehensive Resource Collection settings to control how assets are organized, displayed, and accessed by users. Settings include basic information, sorting preferences, filter configuration, badge display, and visual customization options.

Requirements

To configure Resource Collection settings, users must be assigned a user role with the following permissions:

  • Administrator System Role
  • Resource Collection Manage Access

Configuring Basic Resource Collection Settings

  1. On the Setup Home page, navigate to Create > Resource Collections.
  2. Find the Resource Collection you want to configure and click its name to open the settings.
  3. Configure the following fields:
    • Name: Enter the display name for the Resource Collection
    • Path: Set the URL path for the Resource Collection (must be unique)
    • Description: Enter an optional description that will appear at the top of the Resource Collection page
  4. Click Save Changes or continue to configure additional settings below.

Configuring Resource Collection Sorting

Resource Collection sorting determines the default order in which assets appear in the gallery.

  1. In the Resource Collection settings, locate the Resource Collection Sorting section.
  2. In the Sorting dropdown, select one of the following options:
    • Custom: Enables manual drag-and-drop arrangement of assets by managers
    • Resource Collection Added Ascending: Sorts by date added to collection, oldest first
    • Resource Collection Added Descending: Sorts by date added to collection, newest first
    • Title Alphabetical Ascending: Sorts alphabetically by asset title, A-Z
    • Title Alphabetical Descending: Sorts alphabetically by asset title, Z-A
  3. Click Save Changes.

Note: If you select Custom sorting, managers with appropriate permissions will be able to manually reorder assets using drag-and-drop functionality in the Resource Collection gallery.

Configuring Resource Collection Filters

Filters help users quickly find relevant assets within a Resource Collection. You can configure which filter fields appear and in what order.

  1. In the Resource Collection settings, locate the Resource Collection Filters section.
  2. Under Filter assets by, you'll see two columns:
    • Left column: Available filter fields (e.g., Asset Type, Content Type, Type, and any custom filters)
    • Right column: Selected filter fields that will appear in the Resource Collection
  3. To add filters, click the arrow button next to a field in the left column to move it to the right column.
  4. To arrange filter order, select a filter in the right column and use the positioning buttons:
    • Top: Move to the first position
    • Up: Move up one position
    • Down: Move down one position
    • Bottom: Move to the last position
  5. To remove a filter, use the left arrow button to move it back to the available fields column.
  6. The optimum number of filters is 4. A maximum of 10 filters can be added.
  7. Click Save Changes.

Available Filter Types:

  • Asset Type: Predefined filter with values including Case Studies, White Papers, Product Guides, and Sales Bundles (customizable)
  • Content Type: Predefined filter with values Post, Document, and Course (cannot be customized)
  • Type: Predefined filter with customizable values including Brochure, Case Study, CoBrandable, Blog, Datasheet, Industry Research, Infographic, Media, Social, and Whitepaper
  • Custom Filters: Any additional filters created by administrators

Configuring Asset Badge Display

The Asset Badge determines which filter field appears as a badge on asset tiles in the gallery view, providing quick visual identification.

  1. In the Resource Collection settings, locate the Asset Badge dropdown.
  2. Select which Resource Collection filter will be displayed as a badge on the asset tiles.
  3. Click Save Changes.

Note: If an asset does not have a value for the selected badge field, no badge will appear on that asset's tile.

Configuring Visual Settings

Visual settings control social sharing capabilities and personal collection features.

To disable social sharing:

  1. In the Resource Collection settings, locate the Visual Settings section.
  2. Check the Disable Social Sharing checkbox to remove social share buttons from Resource Collection assets.
  3. Click Save Changes.

Social sharing buttons allow users to share asset links via social media outlets. Disabling this feature removes these buttons from all assets within the Resource Collection.

To disable adding assets to personal Resource Collections:

  1. In the Visual Settings section, check the Disable Adding Assets to Personal Resource Collections checkbox.
  2. Click Save Changes.

Personal Resource Collections allow individual users to create their own private collections of favorite assets from shared Resource Collections. Disabling this feature prevents users from adding assets from this Resource Collection to their personal collections.

Best Practices and Recommendations

Use descriptive names and paths that clearly identify the Resource Collection's purpose and make URLs easy to remember and share.

Write meaningful descriptions that help users understand what types of assets they'll find and when to use this Resource Collection versus others.

Choose sorting strategically based on your use case. Custom sorting works well for curated, smaller collections where you want to highlight specific content. Automatic sorting (by date or title) works better for large, frequently updated collections.

Configure filters thoughtfully. Start with 3-4 essential filters rather than overwhelming users with too many options. You can always add more filters later based on user feedback.

Select the most useful Asset Badge field. This badge appears prominently on asset tiles, so choose a field that helps users quickly identify the most important characteristic (e.g., Asset Type or Product Line).

Consider your audience when configuring visual settings. Partner-facing Resource Collections might need social sharing enabled for co-marketing activities, while internal Resource Collections might have it disabled.

Review settings periodically to ensure they still align with how users are actually using the Resource Collection. User behavior may indicate needed adjustments to sorting or filtering.

Troubleshooting Tips

Filters not appearing to users: Verify that you've saved changes after configuring filters. Also confirm that the filters have values populated in the filter management area.

Asset badges not displaying: Check that assets have values for the selected badge field. Empty fields will not generate a badge.

Custom sorting not working: Ensure managers have been granted "Manage" permissions for the Resource Collection. Only users with manage access can reorder assets manually.

Description not appearing: Verify that you've entered text in the Description field and saved changes. The description only appears when populated.

Unable to save changes: Check that the Path value is unique and doesn't conflict with existing Resource Collections or other platform URLs.
