Managing Partner Enrollments

Administrators can monitor partner progress throughout program participation and manage enrollment lifecycles to support partner success and strategic program objectives. Enrollment management provides detailed progress visibility, tier qualification tracking, and administrative tools that enable proactive partner engagement and informed tier advancement decisions across your entire partner ecosystem.

Partner enrollment management delivers comprehensive tracking capabilities including criterion-by-criterion progress analysis, tier progression visualization, manual recalculation controls, and enrollment modification tools that support partner development and program effectiveness measurement.

Requirements

To manage partner enrollments, users must be assigned a security role with one of the following permissions:

  • Administrator System Role
  • Users in Roles that have Additional Settings: Enable Partner Program Tiers Access

Comprehensive Progress Tracking: Enrollment management provides detailed monitoring of partner achievement against all program criteria, showing current values, required thresholds, and percentage completion toward next tier qualification.

Tier Status Visibility: Visual tier progression displays show partner current placement, advancement toward higher tiers, and comparison of achievement across all program tiers.

Manual Recalculation Controls: On-demand recalculation enables administrators to provide real-time progress updates when partners request current status or after data corrections affect qualification calculations.

Enrollment Modification: Administrative tools enable tier placement adjustments, enrollment period extensions, primary user changes, and other enrollment property modifications that respond to evolving partner relationships.

Progress Tracking Framework

Automatic Calculation: The system automatically evaluates partner progress using the 5-minute delayed recalculation mechanism when changes occur that affect qualification status (criterion updates, enrollment date changes, currency modifications).

Primary User Access Dependency: All progress calculations query data using the Primary Partner User's data access permissions, ensuring only visible opportunities, leads, and course assignments are included in achievement measurements.

Enrollment Period Filtering: Progress calculations include only activities occurring within each partner's enrollment period (between Enrollment Date and Expiration Date) based on configured Attainment Date Field values.

Viewing Enrollment Details

Accessing Individual Enrollment Details

  1. Navigate to Setup > Partner Management > Partner Program Tiers
  2. Click the Enrollments tab
  3. Click the enrollment name or partner account name to open the Enrollment Details page

Enrollment Details Page Overview

The Enrollment Details page provides comprehensive enrollment information organized into distinct sections that support thorough progress review and informed tier advancement decisions.

Main Information Section

The top section displays key enrollment properties and current status:

Program:

  • The partner program name
  • Click the program name to navigate to Program Details
  • Cannot be changed after enrollment creation

Partner Account:

  • The enrolled partner account name
  • Click the account name to navigate to Account Details
  • Cannot be changed after enrollment creation

Tier:

  • Current tier placement
  • Displays tier name assigned to partner
  • Can be changed via Edit to manually advance or adjust tier

Enrollment Date:

  • Start date of enrollment period
  • Establishes beginning of measurement window
  • Can be changed via Edit (triggers recalculation)

Expiration Date:

  • End date of enrollment period
  • Establishes conclusion of measurement window
  • Can be changed via Edit to extend or modify enrollment

Last Calculated:

  • Timestamp showing when progress was last recalculated
  • Format: MM/DD/YYYY HH:MM AM/PM
  • Updates after automatic or manual recalculation
  • Use this to verify recalculation currency

Tier Progress Visualization

The visual tier progress section provides graphical representation of partner advancement:

Current Tier Display

Tier Badge and Name:

  • Current tier highlighted with tier badge image
  • Tier name displayed prominently
  • Visual distinction shows current placement

Progress Percentage:

  • Numerical percentage showing progress toward next tier
  • Calculation based on criteria completion across all requirements
  • Example: "92% to Build" indicates 92% progress toward Build tier

All Tiers Display

Tier Progression Map:

  • Visual representation of all program tiers
  • Tier icons and names displayed in sequence order
  • Current tier highlighted for easy identification

  • Launch (Tier 1)

Interpreting Progress Visualization

92% to Build Example:

  • Partner is currently in Launch tier
  • Partner has achieved 92% of requirements for Build tier
  • Partner needs 8% more achievement to meet Build tier criteria
  • Visual progress bar shows completion toward next tier

Use Progress Visualization To:

  • Quickly assess how close partners are to tier advancement
  • Identify partners approaching qualification thresholds
  • Communicate progress status to partners during business reviews
  • Prioritize tier advancement decisions across multiple partners

Program Criteria Section

The Program Criteria section provides detailed achievement tracking for each criterion defined in the program.

Criterion Display Components

For each program criterion, the details page shows:

Criterion Name:

  • Descriptive name defined during criterion configuration
  • Examples: "Annual Partner Revenue", "Deal Registrations", "Sales Certifications Held"

Current Achievement Value:

  • Partner's current achievement against this criterion
  • Displayed in criterion-appropriate format (currency, count, percentage)
  • Examples: "$125,000", "15 registrations", "3 certifications"

Tier Threshold Values:

  • Required thresholds for each tier displayed in columns
  • Launch, Build, Scale, Elevate threshold values shown
  • Enables comparison of current achievement against all tier requirements

Visual Progress Indicators:

  • Progress bars showing completion percentage toward next tier threshold
  • Color coding or visual styling indicates achievement status
  • Example: Pink/magenta progress bar at 30% indicates 30% progress toward next tier threshold

Criterion Achievement Analysis

Interpreting Criterion Progress:

Annual Partner Revenue Criterion:

  • Current Value: $125,000
  • Launch Threshold: >= $25,000 (Achieved)
  • Build Threshold: >= $100,000 (Achieved)
  • Scale Threshold: >= $500,000 (Not yet achieved - 25% progress)
  • Visual: Progress bar shows 25% completion toward Scale tier

Deal Registrations Criterion:

  • Current Value: 15 registrations
  • Launch Threshold: >= 3 (Achieved)
  • Build Threshold: >= 10 (Achieved)
  • Scale Threshold: >= 25 (60% progress - needs 10 more)
  • Visual: Progress bar shows 60% completion toward Scale tier

Using Criterion Analysis:

  • Identify which specific criteria partners have achieved
  • Determine which criteria need additional focus or support
  • Communicate specific gap areas to partners during coaching
  • Set targeted goals for partners approaching tier qualification

Meeting Multiple Criteria

Tier Qualification Logic:

  • Partners must meet ALL criteria thresholds to qualify for a tier
  • Meeting some but not all criteria does not qualify for advancement
  • Use criterion-by-criterion analysis to identify which requirements block advancement
  • Focus partner development efforts on gap areas preventing qualification

  • Annual Revenue: 100% of Build threshold (Achieved)
  • Deal Registrations: 90% of Build threshold (Not achieved - needs 1 more)
  • Sales Certifications: 100% of Build threshold (Achieved)
  • Result: Partner does not qualify for Build tier due to Deal Registrations gap

Administrative Action:

  • Coach partner on submitting one additional deal registration
  • Monitor progress toward registration goal
  • Plan tier advancement communication for when criterion is met

Benefits Section

The Benefits section displays tier-specific rewards available at each program tier.

Benefit Display Components

Benefit Names:

  • Descriptive names from benefit library
  • Examples: "Partner Portal Access", "Margin Uplift", "MDF Allocation"

Tier-Specific Values:

  • Values configured for each tier displayed in columns
  • Launch, Build, Scale, Elevate values shown
  • Blank cells indicate benefit not available at that tier

Current Tier Benefits Highlighted:

  • Benefits available at partner's current tier are visually emphasized
  • Partners receive these benefits based on current tier placement
  • Higher tier benefits shown to illustrate advancement advantages

Manual Recalculation

The Enrollment Details page includes manual recalculation functionality for on-demand progress updates.

Accessing Manual Recalculation

Located in the upper right of the Enrollment Details page, the Recalculate button triggers immediate progress recalculation for the specific partner enrollment.

When to Use Manual Recalculation

Partner Status Requests:

  • Partner asks for current tier qualification status
  • Partner wants to verify recent activities have been counted
  • Partner needs real-time progress before business review meetings

Data Correction Verification:

  • After correcting opportunity amounts, stages, or dates
  • After updating lead approval statuses or registration details
  • After confirming course completion records

Criterion Configuration Testing:

  • After modifying criterion filter logic
  • After changing Attainment Date Field selections
  • After adjusting criterion threshold values

Primary User Access Changes:

  • After expanding Primary Partner User data access permissions
  • After correcting data visibility configurations
  • After verifying user can access all relevant records

Manual Recalculation Procedure

  1. Navigate to the Enrollment Details page for the specific partner
  2. Click the Recalculate button in the upper right corner
  3. The system immediately processes the recalculation
  4. The Last Calculated timestamp updates to reflect current date and time
  5. All progress indicators, criterion values, and tier progress percentages refresh based on current data

Recalculation Scope

Important: Manual recalculation processes only the specific partner enrollment being viewed.

Recalculation Does NOT:

  • Affect other partners enrolled in the same program
  • Trigger recalculation for other programs
  • Change criterion configurations or threshold values
  • Modify enrollment dates or tier placement

Recalculation DOES:

  • Query current opportunities, leads, and course assignments
  • Apply current filter logic and criterion configurations
  • Use current Primary Partner User access permissions
  • Update progress indicators and tier completion percentages
  • Refresh Last Calculated timestamp

Verifying Recalculation Results

After manual recalculation:

Check Last Calculated:

  • Verify timestamp shows current date and time
  • Confirms recalculation completed successfully

Review Criterion Values:

  • Check that current achievement values reflect recent activities
  • Verify newly counted records appear in totals
  • Confirm corrected data is reflected in calculations

Assess Tier Progress:

  • Review updated progress percentage toward next tier
  • Determine if partner now qualifies for advancement
  • Identify remaining gaps if qualification not yet achieved

Communicate with Partner:

  • Provide updated progress information if partner requested status
  • Explain any changes in qualification status
  • Set expectations for tier advancement timing

Editing Enrollments

Enrollment editing enables administrators to modify tier placement, extend enrollment periods, update primary users, and adjust enrollment properties that respond to evolving partner relationships.

Accessing Enrollment Edit

  1. Navigate to the Enrollment Details page
  2. Click the Edit button in the upper right corner
  3. The Edit Enrollment dialog displays

Editable Enrollment Fields

Primary Partner User:

  • Purpose: Change the user whose access permissions govern progress calculations
  • When to Edit:
    • Original primary user leaves partner organization
    • Different user has more comprehensive data access
    • Role changes within partner organization
  • Impact: Changing Primary Partner User may affect progress calculations if new user has different access permissions
  • Best Practice: Verify new user has administrator-level access to all partner records before saving

Tier:

  • Purpose: Manually advance partner to higher tier or adjust placement
  • When to Edit:
    • Partner meets all qualification criteria for higher tier
    • Strategic business decision to adjust tier placement
    • Recognition of special circumstances or achievements
  • Important: This is the ONLY way to advance partners to higher tiers; system does not automatically promote
  • Process: Select new tier from dropdown, save, and communicate advancement to partner

Enrollment Date:

  • Purpose: Modify the start date of the enrollment period
  • When to Edit:
    • Correcting enrollment date entry errors
    • Aligning enrollment with contract start dates
    • Backdating enrollment to include historical activities
  • Important: Changing Enrollment Date triggers recalculation because measurement period changes
  • Caution: Backdating may include unintended historical activities in progress calculations

Expiration Date:

  • Purpose: Extend or modify the end date of the enrollment period
  • When to Edit:
    • Extending enrollment for contract renewals
    • Aligning with new fiscal year or program periods
    • Shortening enrollment for program changes
  • Common Use: Extend Expiration Date by 12 months when renewing annual partner relationships

Non-Editable Fields:

Partner Account:

  • Cannot be changed after enrollment creation
  • Field is locked to maintain enrollment integrity
  • To change accounts, delete enrollment and create new one

Program:

  • Cannot be changed after enrollment creation
  • Field is locked to maintain enrollment integrity
  • To change programs, delete enrollment and create new one

Saving Enrollment Changes

  1. Review all modifications for accuracy
  2. Verify tier advancement is appropriate if Tier was changed
  3. Click Save to apply changes
  4. If Enrollment Date was changed, system schedules recalculation within 5 minutes
  5. Enrollment Details page updates to reflect new values
  6. Communicate changes to partner if tier or dates were modified

Manual Tier Advancement

Manual tier advancement is a critical administrative function that enables strategic control over partner progression.

Tier Advancement Decision Process

1. Progress Review:

  • Navigate to Enrollment Details
  • Review all criterion current values against next tier thresholds
  • Verify partner has met or exceeded ALL criteria for next tier
  • Check progress percentages show 100% or greater for all criteria

2. Custom Criteria Verification:

  • If program includes Custom criteria, verify manual completion
  • Review required documentation or evidence
  • Confirm qualitative requirements are satisfied
  • Document verification for audit purposes

3. Business Considerations:

  • Consider strategic value of partner relationship
  • Review partner engagement and loyalty
  • Assess timing of advancement announcement
  • Plan recognition and communication activities

4. Execute Tier Advancement:

  • Click Edit on Enrollment Details page
  • In Tier field dropdown, select the new higher tier
  • Click Save to apply tier advancement
  • Partner immediately sees new tier status and benefits in portal

5. Partner Communication:

  • Send congratulatory message acknowledging achievement
  • Explain new benefits available at higher tier
  • Provide guidance on accessing/utilizing new benefits
  • Set expectations and goals for next tier advancement

To monitor all partners enrolled in a specific program:

  1. Navigate to Setup > Partner Management > Partner Program Tiers
  2. Click the Programs tab
  3. Click the program name to open Program Details
  4. Click the Enrollments tab (if available in program view)
  5. View all enrollments for that program

  1. Navigate to Enrollments tab
  2. Use Filter button to select specific program
  3. View filtered list showing only enrollments for selected program

Progress Lower Than Expected:

Tier Advancement Not Reflecting:

  • Confirm tier change was saved via Edit function
  • Verify partner has refreshed their portal (may require browser refresh)
  • Check that enrollment is active and not deleted
  • Ensure partner is viewing correct program if enrolled in multiple

Last Calculated Timestamp Very Old:

  • Trigger manual recalculation to update progress
  • Verify automatic recalculation is functioning (5-minute delay)
  • Check for system issues preventing scheduled recalculation
  • Contact support if recalculation consistently fails

Criteria Showing Zero Progress:

  • Verify Primary Partner User can access relevant records
  • Check that activities exist with dates within enrollment period
  • Review filter logic – may exclude all records
  • Confirm correct Attainment Date Field and Rollup Field selections
