Administrators can monitor partner progress throughout program participation and manage enrollment lifecycles to support partner success and strategic program objectives. Enrollment management provides detailed progress visibility, tier qualification tracking, and administrative tools that enable proactive partner engagement and informed tier advancement decisions across your entire partner ecosystem.
Partner enrollment management delivers comprehensive tracking capabilities including criterion-by-criterion progress analysis, tier progression visualization, manual recalculation controls, and enrollment modification tools that support partner development and program effectiveness measurement.
Requirements
To manage partner enrollments, users must be assigned a security role with one of the following permissions:
- Administrator System Role
- Users in Roles that have Additional Settings: Enable Partner Program Tiers Access

Manual Recalculation Controls: On-demand recalculation enables administrators to provide real-time progress updates when partners request current status or after data corrections affect qualification calculations.
Enrollment Modification: Administrative tools enable tier placement adjustments, enrollment period extensions, primary user changes, and other enrollment property modifications that respond to evolving partner relationships.
Progress Tracking Framework
Automatic Calculation: The system automatically evaluates partner progress using the 5-minute delayed recalculation mechanism when changes occur that affect qualification status (criterion updates, enrollment date changes, currency modifications).
Primary User Access Dependency: All progress calculations query data using the Primary Partner User's data access permissions, ensuring only visible opportunities, leads, and course assignments are included in achievement measurements.
Enrollment Period Filtering: Progress calculations include only activities occurring within each partner's enrollment period (between Enrollment Date and Expiration Date) based on configured Attainment Date Field values.
Viewing Enrollment Details
Accessing Individual Enrollment Details
- Navigate to Setup > Partner Management > Partner Program Tiers
- Click the Enrollments tab
- Click the enrollment name or partner account name to open the Enrollment Details page
Enrollment Details Page Overview
The Enrollment Details page provides comprehensive enrollment information organized into distinct sections that support thorough progress review and informed tier advancement decisions.
Main Information Section
The top section displays key enrollment properties and current status:
Program:
- The partner program name
- Click the program name to navigate to Program Details
- Cannot be changed after enrollment creation
Partner Account:
- The enrolled partner account name
- Click the account name to navigate to Account Details
- Cannot be changed after enrollment creation
Tier:
- Current tier placement
- Displays tier name assigned to partner
- Can be changed via Edit to manually advance or adjust tier
Enrollment Date:
- Start date of enrollment period
- Establishes beginning of measurement window
- Can be changed via Edit (triggers recalculation)
Expiration Date:
- End date of enrollment period
- Establishes conclusion of measurement window
- Can be changed via Edit to extend or modify enrollment
Last Calculated:
- Timestamp showing when progress was last recalculated
- Format: MM/DD/YYYY HH:MM AM/PM
- Updates after automatic or manual recalculation
- Use this to verify recalculation currency
Tier Progress Visualization
The visual tier progress section provides graphical representation of partner advancement:
Current Tier Display
Tier Badge and Name:
- Current tier highlighted with tier badge image

Program Criteria Section
The Program Criteria section provides detailed achievement tracking for each criterion defined in the program.

For each program criterion, the details page shows:
Criterion Name:
- Descriptive name defined during criterion configuration
- Examples: "Annual Partner Revenue", "Deal Registrations", "Sales Certifications Held"
Current Achievement Value:
- Partner's current achievement against this criterion
- Displayed in criterion-appropriate format (currency, count, percentage)
- Examples: "$125,000", "15 registrations", "3 certifications"
Tier Threshold Values:
- Required thresholds for each tier displayed in columns
- Launch, Build, Scale, Elevate threshold values shown
- Enables comparison of current achievement against all tier requirements
Visual Progress Indicators:
- Progress bars showing completion percentage toward next tier threshold
- Color coding or visual styling indicates achievement status
- Example: Pink/magenta progress bar at 30% indicates 30% progress toward next tier threshold

- Launch Threshold: >= $25,000 (Achieved)
- Build Threshold: >= $100,000 (Achieved)
- Scale Threshold: >= $500,000 (Not yet achieved - 25% progress)
- Visual: Progress bar shows 25% completion toward Scale tier
Deal Registrations Criterion:
- Current Value: 15 registrations
- Launch Threshold: >= 3 (Achieved)
- Build Threshold: >= 10 (Achieved)
- Scale Threshold: >= 25 (60% progress - needs 10 more)
- Visual: Progress bar shows 60% completion toward Scale tier
Using Criterion Analysis:

Meeting Multiple Criteria

The Enrollment Details page includes manual recalculation functionality for on-demand progress updates.
Accessing Manual Recalculation
Located in the upper right of the Enrollment Details page, the Recalculate button triggers immediate progress recalculation for the specific partner enrollment.
When to Use Manual Recalculation
Partner Status Requests:
- Partner asks for current tier qualification status
- Partner wants to verify recent activities have been counted
- Partner needs real-time progress before business review meetings
Data Correction Verification:
- After correcting opportunity amounts, stages, or dates
- After updating lead approval statuses or registration details
- After confirming course completion records
Criterion Configuration Testing:
- After modifying criterion filter logic
- After changing Attainment Date Field selections
- After adjusting criterion threshold values
Primary User Access Changes:
- After expanding Primary Partner User data access permissions
- After correcting data visibility configurations
- After verifying user can access all relevant records
Manual Recalculation Procedure
- Navigate to the Enrollment Details page for the specific partner
- Click the Recalculate button in the upper right corner
- The system immediately processes the recalculation
- The Last Calculated timestamp updates to reflect current date and time
- All progress indicators, criterion values, and tier progress percentages refresh based on current data
Recalculation Scope
Important: Manual recalculation processes only the specific partner enrollment being viewed.
Recalculation Does NOT:
- Affect other partners enrolled in the same program
- Trigger recalculation for other programs
- Change criterion configurations or threshold values
- Modify enrollment dates or tier placement
Recalculation DOES:
- Query current opportunities, leads, and course assignments
- Apply current filter logic and criterion configurations
- Use current Primary Partner User access permissions
- Update progress indicators and tier completion percentages
- Refresh Last Calculated timestamp
Verifying Recalculation Results
After manual recalculation:

- Check that current achievement values reflect recent activities
- Verify newly counted records appear in totals

Editing Enrollments
Enrollment editing enables administrators to modify tier placement, extend enrollment periods, update primary users, and adjust enrollment properties that respond to evolving partner relationships.
Accessing Enrollment Edit
- Navigate to the Enrollment Details page
- Click the Edit button in the upper right corner
- The Edit Enrollment dialog displays
Editable Enrollment Fields
Primary Partner User:
- Purpose: Change the user whose access permissions govern progress calculations
- When to Edit:
- Original primary user leaves partner organization
- Different user has more comprehensive data access
- Role changes within partner organization
- Impact: Changing Primary Partner User may affect progress calculations if new user has different access permissions
- Best Practice: Verify new user has administrator-level access to all partner records before saving
Tier:
- Purpose: Manually advance partner to higher tier or adjust placement
- When to Edit:
- Partner meets all qualification criteria for higher tier
- Strategic business decision to adjust tier placement
- Recognition of special circumstances or achievements
- Important: This is the ONLY way to advance partners to higher tiers; system does not automatically promote
- Process: Select new tier from dropdown, save, and communicate advancement to partner
Enrollment Date:
- Purpose: Modify the start date of the enrollment period
- When to Edit:
- Correcting enrollment date entry errors
- Aligning enrollment with contract start dates
- Backdating enrollment to include historical activities
- Important: Changing Enrollment Date triggers recalculation because measurement period changes
- Caution: Backdating may include unintended historical activities in progress calculations
Expiration Date:
- Purpose: Extend or modify the end date of the enrollment period
- When to Edit:
- Extending enrollment for contract renewals
- Aligning with new fiscal year or program periods
- Shortening enrollment for program changes
- Common Use: Extend Expiration Date by 12 months when renewing annual partner relationships
Non-Editable Fields:
Partner Account:
- Cannot be changed after enrollment creation

- To change accounts, delete enrollment and create new one
Program:
- Cannot be changed after enrollment creation

Saving Enrollment Changes
- Review all modifications for accuracy
- Verify tier advancement is appropriate if Tier was changed
- Click Save to apply changes

4. Execute Tier Advancement:
- Click Edit on Enrollment Details page
- In Tier field dropdown, select the new higher tier
- Click Save to apply tier advancement
- Partner immediately sees new tier status and benefits in portal
