About the Redemption Module

The Redemption Module allows users to redeem points accumulated in the Rewards Module using the Tango Card service. Eligible e-gift cards can be distributed to program members across multiple countries and currencies, providing tangible rewards for user achievements. The Redemption Module seamlessly integrates with the Rewards Module to create a complete incentive ecosystem where users earn points and convert them into meaningful rewards from recognized global brands.

The Redemption Module transforms accumulated points into real-world value through instant gift card delivery, providing users with flexibility to choose rewards that matter to them while giving administrators comprehensive control over available redemption options, funding management, and access permissions.

Note: The Redemption Module is not available for trial environments.


Core Functionality

Tango Card Integration

Automatic Account Creation:
When administrators enable the Redemption Module for the first time, the system automatically creates a production Tango Card account transparently without requiring manual credential entry. This seamless integration eliminates complex setup procedures and enables immediate redemption functionality.

Points-to-Currency Conversion:
The Redemption Module uses a standardized conversion rate where 100 points equals one unit of any currency. This universal conversion enables users to redeem points for gift cards across multiple countries and currencies without complex exchange calculations. For example:

  • 100 points = $1 USD = £1 GBP = €1 EUR = $1 CAD
  • 10,000 points = $100 USD = £100 GBP = €100 EUR = $100 CAD

Instant Fulfillment:
Once users complete the redemption process, gift card emails are delivered immediately with redemption codes and instructions. While the redemption interface indicates delivery may take a couple of hours, users typically receive gift card emails instantly, enabling immediate reward enjoyment.

Multi-Country Gift Card Catalog

Global Redemption Options:
Administrators configure which countries are eligible for gift card redemption, and users can browse and select gift cards from any configured country regardless of their physical location. This flexibility recognizes that users may travel, have international preferences, or want to purchase gifts for recipients in different locations.

Country-Specific Gift Card Selection:
For each configured country, administrators choose which gift cards from Tango Card's catalog are available to users. Gift card options include major brands across categories such as:

  • Retail and shopping (Amazon, Walmart, Target)
  • Dining and food services (Starbucks, restaurants)
  • Entertainment and streaming (Netflix, gaming platforms)
  • Travel and hospitality (airlines, hotels)
  • General purpose prepaid cards (Visa, Mastercard)

The specific gift cards available vary by country based on Tango Card's partnerships and regional brand availability.

Denomination Flexibility:
Gift card denomination options vary by brand and country:

  • Fixed Denominations: Some gift cards offer preset values (e.g., $10, $25, $50, $100)
  • Custom Amounts: Some gift cards allow users to specify exact amounts within minimum and maximum ranges
  • Administrators set minimum and maximum redemption values for each country to control redemption parameters and ensure sufficient point balances

Redemption Value Controls

Country-Level Min/Max Settings:
For each eligible country, administrators establish:

  • Minimum Value: The smallest gift card amount users can redeem in the local currency
  • Maximum Value: The largest gift card amount users can redeem in the local currency

These controls ensure users have adequate point balances for redemption while preventing excessively large single redemptions that could impact funding requirements.

Denomination Enforcement:
When users select gift cards, the system displays only denomination options within the configured min/max range. Users cannot select values outside these parameters, ensuring redemptions align with administrative controls.


Administrative Management

Funding and Account Management

Credit Card Registration:
Administrators register credit cards to fund the Tango Card account balance. Multiple credit cards can be registered to provide funding flexibility and backup payment methods. Each card must be registered individually through a secure payment information form.

Verification Timeline:
New credit cards undergo verification that typically completes within 24 hours. During verification, the card can be registered but may not be immediately available for funding transactions.

Balance Management:
The Redemption Module dashboard displays:

  • Current Balance: Available funds in the Tango Card account to cover gift card costs
  • Unredeemed Points: Total point value across all users that could potentially be redeemed (represents liability)

Administrators monitor these metrics to ensure adequate funding exists to fulfill redemption requests. The Current Balance should exceed or closely match Unredeemed Points to prevent redemption delays.

Adding Funds:
Administrators add funds to the Tango Card account by:

  1. Selecting a registered credit card
  2. Entering the funding amount in USD
  3. Submitting the funding request

Funding typically processes within 24 business hours. During this period, users can still submit redemption requests, but gift card fulfillment is delayed until sufficient balance exists.

Transaction Fees:
Tango Card charges a 3.5% fee on all transactions. Additionally, if administrators use international (non-USD) credit cards, currency conversion rates and additional fees charged by the credit card issuer may apply.

Low Funding Reminders:
Administrators can enable automatic low funding notifications by:

  • Setting a threshold amount (e.g., $100)
  • Providing a comma-separated list of email addresses for notifications
  • When the available balance drops below the threshold, the system sends email alerts

This proactive monitoring prevents redemption delays due to insufficient funding and enables timely account replenishment.

Gift Card Configuration

Country Selection:
Administrators add countries to make them eligible for redemption. Only countries supported by Tango Card can be configured. For each country, administrators specify minimum and maximum redemption values in the local currency.

Gift Card Management:
For each configured country, administrators:

  • View all available gift cards from Tango Card's catalog for that country
  • Add gift cards to make them available to users
  • Remove gift cards to discontinue availability

Gift cards can be added or removed at any time. Removal does not affect previously fulfilled redemptions—users who already received gift cards retain access regardless of subsequent configuration changes.

Dynamic Catalog Updates:
Tango Card regularly updates its gift card catalog with new brands and partnerships. Administrators periodically review available gift cards to offer trending brands and user-preferred options.

Access Control and Permissions

Role-Based Redemption Access:
Administrators control who can redeem points through two access models:

All Sign-In Users:
All users matching reward program audience criteria can redeem accumulated points. This inclusive approach maximizes redemption accessibility while respecting program enrollment boundaries.

Specific Roles:
Redemption access is restricted to users with designated security roles. Administrators select which roles have redemption permissions, enabling granular control over redemption eligibility.

Role Change Impact:
If a user's role changes and they no longer have redemption access:

  • Unredeemed points remain visible in their account
  • Redemption history remains accessible
  • The redemption button is removed from view, preventing new redemptions
  • Points cannot be redeemed until access is restored

This ensures users maintain visibility into earned rewards while preventing unauthorized redemptions.

Fulfillment Tracking and Management

Fulfillment Report:
The Fulfillment tab provides comprehensive visibility into all redemption transactions:

  • Reference Number: Unique Tango Card transaction identifier
  • Brand SKU: Gift card brand and product identifier
  • User Name: Individual who redeemed points
  • Gift Card: Brand name and card type
  • Amount: Gift card value in local currency
  • Redemption Date: Date and time of redemption
  • Points: Point value deducted from user balance
  • Action: Resend Email option

Email Resending:
If users do not receive gift card emails or lose redemption instructions, administrators can resend emails unlimited times. The resend function delivers the original gift card email with the same redemption code, enabling users to recover access without creating new redemption transactions.

Tax Reporting and Compliance

US Tax Tracking:
Administrators can enable US tax tracking to generate reports for tax reporting purposes. When enabled:

  • The system collects tax information from users
  • Calendar year earnings are tracked in USD
  • Earnings reports can be exported for users meeting or exceeding configurable tax thresholds

Tax Threshold Configuration:
Administrators set the tax threshold amount in USD (e.g., $600 for 1099 reporting). The system displays only users whose total gift card redemption value meets or exceeds this threshold.

Earnings Export:
The Earnings tab provides:

  • Earning Year: Filter by calendar year
  • Account and User: Filter by specific accounts or users
  • Edit Tax Threshold: Modify the threshold value
  • Export: Generate CSV or Excel files containing earnings amounts and tax information for users above the threshold

The exported data is provided for administrator use in preparing tax forms. The system does not automatically generate Form 1099 or other official tax documents.

Tax Information Collection:
When US tax tracking is enabled and users approach or exceed thresholds, the system may prompt them to provide tax identification information required for reporting compliance.


User Experience

Redemption Process

Accessing Redemption:
Users with redemption access navigate to the redemption interface from their rewards dashboard or dedicated redemption pages. The interface provides a user-friendly browsing experience for exploring gift card options.

Country and Gift Card Selection:
Users can:

  • Toggle between configured countries to browse gift cards available in each location
  • View gift card images, brand names, and available denominations
  • Compare options across multiple countries
  • Select gift cards from any country regardless of their physical location

Amount Selection:
Depending on the gift card brand:

  • Fixed Denominations: Users select from preset values displayed as clickable options
  • Custom Amounts: Users enter desired amounts within minimum and maximum parameters
  • Point Balance Validation: The system ensures users have sufficient points for selected amounts

Confirmation and Fulfillment:
After confirming their selection:

  • Points are immediately deducted from the user's balance
  • The reward claim status changes from "Approved" to "Reimbursed"
  • A gift card email is sent containing redemption codes and instructions
  • Users receive a receipt email (if configured) confirming the transaction

Gift Card Email Contents:
The gift card email includes:

  • Brand name and gift card value
  • Redemption code or PIN
  • Instructions for using the gift card online or in-store
  • Terms and conditions from the gift card provider
  • Expiration date if applicable

User Dashboard Visibility

Users can view:

  • Current points balance across all reward programs
  • Available gift card redemption options
  • Redemption history showing previously redeemed gift cards
  • Redemption dates, amounts, and brands

This transparency enables users to track their redemption activity and plan future redemptions based on point accumulation.


Integration with Rewards Module

The Redemption Module integrates seamlessly with the Rewards Module to create a complete incentive ecosystem:

Unified Point Management:
Points earned through reward programs automatically become available for redemption once approved. Users see a single, consolidated point balance across all enrolled programs (when using points-based programs).

Redemption Method Configuration:
In Reward Program General Settings, administrators select "Use Gift Card Redemption" as the Point Redemption method to enable the Tango Card integration. This global setting applies to all points-based reward programs.

Status Synchronization:
When users redeem points:

  • Approved reward claims transition to "Reimbursed" status
  • Points are deducted from user balances
  • Redemption activity is recorded in reward history
  • Program managers can track redemption patterns

Balance Updates:
The system maintains real-time synchronization between reward earning and redemption:

  • Approved rewards immediately add to point balances
  • Redemptions immediately deduct from point balances
  • Users always see current, accurate balances

Issue: Gift card emails are not being delivered
Solution: Verify the Receipt Email Template is selected in Redemption Module Settings. Check user email addresses are valid and deliverable. Review email delivery logs for bounce or spam filter issues. Use the "Resend Email" function in the Fulfillment report to retry delivery.

Issue: Insufficient balance errors when users attempt redemption
Solution: Check Current Balance in the Redemption Module dashboard. Add funding using registered credit cards. Verify funding transactions completed successfully. Wait up to 24 hours for funding to process if recently added.

Issue: Credit card verification is taking longer than expected
Solution: Tango Card verification typically completes within 24 hours. If delays exceed 24 hours, verify card information is correct. Ensure the card is not expired or declined. Contact Magentrix support if verification problems persist beyond 48 hours.

Issue: Users cannot redeem in their preferred country
Solution: Check that the country is configured in Redemption Module Settings. Verify gift cards are added for the specific country. Ensure minimum and maximum values are set appropriately. Review that Tango Card supports the requested country.

Issue: Low funding reminders are not being sent
Solution: Verify "Enable Low Funding Reminder" checkbox is checked. Confirm the threshold amount is set. Check that email addresses are entered correctly in comma-separated format. Ensure Current Balance has dropped below the threshold to trigger notifications.

Issue: Tax reports show incorrect user earnings
Solution: Verify the earning year filter is set correctly. Check the tax threshold configuration. Ensure US Tax Tracking is enabled. Review individual user redemption history in the Fulfillment report. Export fresh reports rather than relying on cached data.

Issue: Users report not receiving redemption codes
Solution: Use the "Resend Email" function in the Fulfillment report to resend gift card emails. Verify the user's email address is correct. Check spam/junk folders for filtered emails. Review the receipt email template configuration. Contact Tango Card support if resends fail repeatedly.
