Deal Management Configuration

The portal's deal management systems are easily configurable to match your organization's workflows.

Requirements:

To configure Deal Settings, users must be assigned one of the following permissions:

  • Administrator System role
  • Additional Settings: Enable Deal Management Access

To Configure Deal Management Settings:

Navigate to Setup > Partner Management > Deal Settings. Settings are separated via menu tabs.  

Deal Registration

This section allows administrators to configure how partner-submitted leads are handled, notified, and tracked within the system.

  • Enable internal notification when partners submit a lead: Enable this setting to email an employee user when a partner submits a lead. 
    • Notify the partner account owner when partners submit a lead: Check this setting to send the internal email to the partner's account owner.
    • Internal email address(es) to notify when partners submit a lead: Populate this field with a list of emails that will receive the internal email.
    • Email template used to notify the partner account owner/internal email address(es) when partners submit a lead: Select the email template that is used for sending the internal email notification.
  • Enable partner notifications when a lead is approved/rejected: Enable this setting to send an email notification to the partner when a lead is approved or rejected. 
    • Deal Approval Email Template: Select the email template that is used for sending the lead approval notification to the partner.
    • Deal Rejection Email Template: Select the email template that is used for sending the lead rejected notification to the partner.
  • Assign Lead Owner: When enabled, leads created by partner users will be assigned to their account owner. If disabled, lead ownership will be assigned based on the external CRM's assignment rules.
    Lead Tracking Fields
  • Lead Ownership Field: Select the field in the Lead entity/object that is used to track if the lead is created by a partner or by the vendor.
  • Partner Contact Field: Select the field used to track the partner that submits the deal registration.
  • Review Status Field: Select the field used to track the review status of the lead.

Click Save to save your changes.

Deal Inbox

This section manages the Deal Inbox feature, which provides partners with visibility and notifications related to leads assigned to them.

  • Enable Deal Inbox: Activates the Deal Inbox functionality.
  • Plural Label: Customize the display name for the Deal Inbox.
  • Deal Inbox Deal Visibility: Select if partners should see only individually-assigned leads or all leads assigned to their company.
  • Notify the partner when a lead has been assigned to them: Enable this setting to send an email to the partner when a lead has been assigned to them.
    • Email Template to notify the partner when a lead has been assigned to them: Select the email template used to send the email.
  • Notify the lead owner when a lead is accepted by the partner: Enable this setting to send an email to the lead owner when a lead is accepted by the partner.
    • Internal email address(es) to notify when a lead is accepted by the partner: Optionally enter a list of internal email addresses that will be sent the email.
    • Email Template to notify the lead owner/internal email address(es) when a lead is accepted by the partner: Select the email template used to send the email.
  • Notify the lead owner when a lead is rejected by the partner: Enable this setting to send an email to the lead owner when a lead is rejected by the partner.
    • Internal email address(es) to notify when a lead is rejected by the partner: Optionally enter a list of internal email addresses that will be sent the email.
    • Email Template to notify the lead owner/internal email address(es) when a lead is rejected by the partner: Select the email template used to send the email.

Click Save to save your changes.

Deal Amendment Form

This section controls how partners can modify existing opportunities and how those updates are communicated internally.

An opportunity form can be designated for partners to amend opportunity records. Changes made via the form will override the partner's field-level permissions. Note: Default form values from the form will override existing field values.

  • Prevent partners from editing closed opportunities: When enabled, partners will not be allowed to edit opportunities that are closed.
  • Notify the opportunity owner when an opportunity has been edited by the partner
    • Internal email address(es) to notify when an opportunity has been edited by the partner: Optionally enter a list of internal email addresses that will be sent the email.   
    • Email Template to notify the opportunity owner/internal email address(es) when an opportunity has been edited by the partner: Select the email template used to send the email.
  • Select Form for Amendment: Select the Opportunity form that partners will use to update deals.  If --None-- is selected, the regular edit page layout will be used.

Click Save to save your changes.

Deal Closing Extension

This section manages how partners can request deadline extensions on opportunities, and how those requests and related reminders are communicated and tracked.

  • Number of Opportunity Extension Requests Allowed: Select if partners can request additional extensions after the first extension decision.
  • Enable internal notifications when a partner requests an extension on an opportunity
    • Notify the opportunity owner when a partner requests an extension on an opportunity: If enabled, an email will be sent to the opportunity's owner.
    • Internal email address(es) to notify when a partner requests an extension on an opportunity: Optionally enter a list of email addresses that will be sent the email.
    • Email Template to notify the opportunity owner/internal email address(es) when a partner requests an extension on an opportunity: Select the email template used to send the email.
  • Notify the partner when their extension request on an opportunity is approved or rejected
    • Email Template to notify the partner when their extension request on an opportunity is approved: Select the email template used to send the email.
    • Email Template to notify the partner when their extension request on an opportunity is rejected: Select the email template used to send the email.
  • Enable reminder email notification: This setting enables up to two notifications by email to remind the partner their opportunity reaches the 'Exclusivity Expiration Date'.
    • Reminder 1: Enter the number of days before the first reminder is sent.
    • Reminder 2: Enter the number of days before the second reminder is sent.
    • Email Template to remind the partner their opportunity reaches the 'Exclusivity Expiration Date': Select the email template used to send the email.
    • Send a copy of the reminder notification to the opportunity owner
  • Update the opportunity stage & notify the partner when the 'Exclusivity Expiration Date' is reached: 
    • Opportunity Record Type - Stage - Click to select the stage that the opportunity will be updated when the expiration date is reached.
    • Email Template to notify the partner/opportunity owner when the 'Exclusivity Expiration Date' is reached: Select the email template used to send the email.
  • Extension Request Button Visibility: Enter the number of days from the expiration date where the extension request button is visible.
  • Opportunity Tracking Fields
    • Exclusivity Expiration Date Field: Select the date field used to track the deal closing due date.
    • Partner Contact Field: Select the contact field used to track the assigned partner.

Click Save to save your changes.

Referral Settings

This section controls how partner referrals are tracked and how referral data is used to generate and assign leads.

  • Enable Referral Tracking: Enables the Magentrix referral tracking JavaScript.
    • Create a lead: Automatically creates a lead in the system when a referral is submitted through a form with the PartnerTrack JS.
      • Assign lead to a campaign: Enables automatic lead assignment to a campaign based on UTM parameters.

  • Use Cookie-less tracking: If checked, tracking will not rely on browser cookies. If unchecked, cookies will be used to maintain partner attribution data.
  • Select Attribution Model: Choose if Attribution is assigned to the first or last referring partner detected.
