Stores Module Checklist

Essential Stores Tasks for Administrators

To deploy storefronts for partners, customers, and employees, the Stores module must be properly configured with comprehensive product management, collection organization, checkout configuration, and order tracking systems. Storefronts provide commerce experiences that enable users to browse products, complete purchases, and redeem rewards while maintaining operational visibility and transactional integrity across organizational communities.

Foundation Setup

Understanding the Stores Module Familiarize yourself with comprehensive storefront capabilities including multi-store architecture, product catalog management with variants, manual and automated collection organization, flexible checkout methods (Credit Card, Place Order, Redeem Points), discount code configuration, tax calculation through store regions, and order management systems. Understand how storefronts integrate with existing Magentrix modules including Rewards, Connected Apps, and Email Templates to create seamless commerce experiences.

Configuring Store Regions Configure geographic tax rules by creating store region records for each country and state/province combination where customers may place orders. Define tax rate percentages for each region to enable accurate tax calculation during checkout. Establish region coverage before enabling checkout to ensure customers in all target locations can complete purchases with correct tax application. Remember that each country/state combination should be unique to prevent unpredictable tax calculation results.

Configuring Payment Provider Credentials For storefronts using Credit Card checkout, configure payment gateway credentials through Connected Apps before creating storefronts. Supported payment providers include Authorize.Net, Moneris, Stripe, and PayPal Express Checkout. Verify gateway credentials are properly established and tested before enabling credit card payment methods in production storefronts.

Preparing Email Templates Configure receipt email templates for order confirmation communications. Ensure templates include the {!ShoppingCartItems} merge field to render complete line item details in customer receipts. Review template formatting and branding alignment before associating templates with storefronts.

Storefront Creation and Configuration

Creating and Sharing Storefronts Master comprehensive storefront creation process including required fields (Store Title, Unique Path), store browsing configuration (collection-based or full catalog display), checkout method selection, and payment provider assignment. Configure storefront sharing permissions with Security Roles, User Groups, or individual users to control access across different user communities. Understand sharing permission levels (View and Manage) and their impact on storefront administration capabilities.

Configuring Storefront Settings Configure detailed storefront settings including Store Landing Page options (Display Entire Catalog or Display Collections), Browsable Collections selection and ordering (maximum 10 collections), Store Introductory Message for landing page content, and Default Product Image for products without assigned images. Enable Quick Add-To-Cart for streamlined purchasing experiences where products are added with default quantity of one.

Configuring Checkout Settings Configure checkout behavior including Checkout Method selection (Credit Card, Place Order, or Redeem Points), Payment Provider and Gateway Credentials assignment, Available Card Types selection, Store Currency configuration, and Calculate Taxes enablement. Set up Guest Checkout options including Enable Checkout as Guest and Buyers do not need to login settings for anonymous purchasing capabilities.

Configuring Order Notifications Configure order communication settings including Receipt Template selection for customer order confirmations, Order Confirmation Message for the final checkout page, Order Confirmation Footer for additional confirmation content, and Notification Emails for internal recipients who should receive BCC copies of order confirmations. Customize checkout field visibility using Hide Company Name, Hide Phone Field, Hide P/O Number Field, and Phone Field Required options.

Product Management

Creating Products Master product creation process including required fields (Name, Summary, Starting Price), optional fields (Description with rich text formatting, Product Code for SKU reference), and organizational fields (Product Type, External ID for system integration). Configure pricing options including Starting Price, Compare at Price for promotional display, and Charge taxes on this product for tax-exempt items.

Configuring Product Availability Configure product visibility settings including Active/Product Visibility checkbox to control storefront display and Publish Date for scheduled product launches. Understand that inactive products remain in the system for reference but are excluded from storefront visibility. Use publish dates to coordinate product availability with marketing campaigns and inventory readiness.

Managing Product Variants Configure product variants for items with multiple options such as sizes or colors. Create variant options defining the attribute dimensions, then add individual variants with specific option values, variant codes, and variant-specific pricing. Use Reorder Variants to control display sequence and Edit Options to modify available attribute values. Understand that variant codes and prices override base product values where applicable.

Managing Product Media Upload product images using the Images section to provide visual representation in the storefront. Add videos for product demonstrations or promotional content. Configure shipping settings for physical products including the "This is a physical product" checkbox to indicate items requiring fulfillment and delivery coordination.

Collection Management

Creating Manual Collections Create curated product groupings by selecting Manual collection type and explicitly adding products through the Add Products search field. Configure collection details including Name, Unique Path for URL generation, Description for storefront display, Sort order for product arrangement, and Collection Image for visual representation. Understand that manual collections remain static until administrators add or remove products.

Creating Automated Collections Create rule-based collections by selecting Automated collection type and defining filter conditions using available product fields. Configure conditions using Field selection, Operator comparison, and Value specification with AND logic between conditions. Use Filter Logic field for advanced condition combinations (example: (1 OR 2) AND 3). Understand that automated collections update dynamically as product attributes change.

Available Collection Filter Fields Understand available fields for automated collection conditions: Active, Charge taxes on this product, Compare at Price, Created By, Created On, Custom Configuration Page, Description, External ID, Id, Last Modified Date, Modified By, Name, Product Code, Product Type, Product Weight, Publish Date, Starting Price, Storefront, Summary, This is a physical product, This product has variants, Variant Options, Variants Details, and Weight Unit.

Configuring Collection Display Configure collection presentation including Sort options (Best Selling, Product Name A-Z, Product Name Z-A, Highest Price, Lowest Price, Newest, Oldest) to control default product ordering. Add collections to Browsable Collections in storefront settings to enable collection-based navigation. Order browsable collections to control display sequence on the storefront landing page.

Discount Management

Creating Discount Codes Create promotional discount codes including Discount Name for internal reference, Discount Code that customers enter at checkout (use Generate Code for automatic creation), Discount Type selection (Percentage or Fixed Amount), and Discount Value specification. Understand that discount codes must be unique within each storefront.

Configuring Discount Controls Configure discount restrictions including Minimum Requirements with optional minimum purchase amount thresholds, Usage Limits for total redemption caps and per-user restrictions, and Active Dates with Start Date/Time and optional End Date/Time for time-bound promotions. Plan discount strategies including usage limits and date ranges before creating promotional codes to prevent unintended overuse.

Order Management

Monitoring Storefront Orders Review orders placed through storefronts using the Orders tab. Use keyword search to filter orders by order number or billing name. Understand order list columns including Order Number, Billing Name, Checkout Method, Created On, and Modified By for order identification and tracking. Click order numbers to access detailed order information.

Reviewing Order Details Access individual order records to review comprehensive order information including order status, billing information (name, email, address), line items with quantities and pricing, subtotal and total calculations, P/O Number if provided, Transaction number for payment reference, and IP Address for audit purposes. Understand that order details reflect values at the time of purchase even if products have since been updated.

Editing Orders Update order metadata using the Edit function to modify Status (Submitted, Fulfilled), P/O Number for internal reference, Billing Information fields for customer data corrections, and Shipping Information for fulfillment coordination. Understand that order edits affect administrative records only and do not recalculate pricing, discounts, or taxes. Status updates support fulfillment tracking and reporting workflows.

Best Practices for Implementation

Initial Setup Considerations

  • Configure store regions for all target geographic areas before enabling checkout to ensure proper tax calculation
  • Test payment provider integration thoroughly with test transactions before enabling credit card checkout in production
  • Start with simple storefront configurations and expand features based on user feedback and operational requirements
  • Create comprehensive product descriptions with quality images to support informed purchasing decisions
  • Plan collection structures that align with user browsing expectations and product discovery patterns

Ongoing Management

  • Monitor order activity regularly to ensure timely fulfillment and identify processing issues
  • Review discount code usage to verify promotions perform as intended and prevent overuse
  • Maintain product information currency by deactivating discontinued items and updating pricing as needed
  • Adjust collection configurations based on product additions and user browsing patterns
  • Update store region tax rates when regulatory requirements change, remembering that updates affect new orders only

Important: Storefronts are licensed on a per-store basis. Each Store license enables creation of one storefront. When the maximum licensed storefront count is reached, additional storefronts cannot be created until licenses are added or existing storefronts are deleted.
