Creating Resource Collections and Managing Filters

Administrators can create Resource Collections to be used by different organizational members or partners for collateral and process enablement. Administrators can manage the Resource Collection filters that are available to users. These filters allow users to quickly separate and pull assets from the gallery. For example, filters can be used to sort assets by Asset Type, Content Type, product, category, or industry.

Requirements

To create a Resource Collection and create new Resource Collection filters, users must be assigned a user role with the following permissions:

  • Administrator System Role

To configure Resource Collection settings, users must be assigned a user role with the following permissions:

  • Administrator System Role
  • Resource Collection Manage Access

Creating a Resource Collection

  1. On the Setup Home page, click Create > Resource Collections.
  2. Click New Resource Collection.
  3. In the Name field, enter a name for the new Resource Collection.
  4. In the Path field, set the URL of your Resource Collection. You must enter a unique value.
  5. In the optional Description field, enter a description for your Resource Collection gallery. The description will appear at the top of the Resource Collection page to provide context for users.
  6. In the Sorting field, select how Resource Collection assets will be sorted in the gallery:
    • Custom: Allows administrators to manually drag and drop assets to arrange them in any order
    • Resource Collection Added Ascending: Sorts assets by the date they were added to the Resource Collection, oldest first
    • Resource Collection Added Descending: Sorts assets by the date they were added to the Resource Collection, newest first
    • Title Alphabetical Ascending: Sorts assets alphabetically by title, A-Z
    • Title Alphabetical Descending: Sorts assets alphabetically by title, Z-A
  7. Under Resource Collection Filters, select and arrange gallery filters that will be available to users. Click the filter fields you want to include from the left column, then use the arrow buttons (Top, Up, Down, Bottom) to position them in your preferred order. The optimum number of filters is 4. A maximum of 10 filters can be added.
  8. You can choose which filter will be displayed as a badge for each asset tile by selecting a field using the Asset Badge dropdown.
  9. If you want to create a new filter:
    1. Click Add More Filters.
    2. In the new window, click the New dropdown menu and select the filter type (Checkbox, Picklist, or Multi-Select Picklist).
    3. Configure the entity fields and then click Save. See "To Manage Resource Collection Filters" below.
    4. Click Back to Previous screen and then select and arrange the gallery filters.
  10. Under Visual Settings, configure optional settings:
    • Check Disable Social Sharing to remove social share buttons from Resource Collection assets that allow users to share the asset link via social media outlets.
    • Check Disable Adding Assets to Personal Resource Collections to disallow users from adding Resource Collection assets to their personal resource collections.
  11. Click Save.

Managing Resource Collection Filters

Resource Collections include two predefined filters:

  • Type: A picklist filter with default values including Brochure, Case Study, CoBrandable, Blog, Datasheet, Industry Research, Infographic, Media, Social, and Whitepaper. Administrators can add additional values or remove existing values from this picklist.
  • Content Type: A picklist filter with values Post, Document, and Course. This filter cannot be customized and no additional values can be added.

Administrators can create additional custom filters (Picklist, Multi-Select Picklist, or Checkbox) and assign them to Resource Collections as needed.

To create or edit Resource Collection filters:

  1. On the Setup Home page, click Create > Resource Collections.
  2. Click Manage Filters.
  3. To create a new filter:
    1. Click New and then select your desired filter type (Checkbox, Picklist, or Multi-Select Picklist).
    2. Configure the fields and then click Save.
    Note: Picklists and multi-select picklists require additional configuration of picklist values.
  4. To edit a filter, next to the desired filter, click the dropdown menu and then click Edit. Make your changes and then click Save.
  5. To delete a filter, next to the desired filter, click the dropdown menu and then click Delete.
  6. To manage filter picklists, next to the desired filter, click the dropdown menu and then click Manage Picklists.
  7. Configure the picklists and then click Close. See Configuring Picklists.

Best Practices and Recommendations

Start with essential filters rather than adding all possible filter options. The optimal number is 4 filters to avoid overwhelming users with too many options.

Use meaningful filter names that are intuitive to your users. Consider what terminology your sales teams, partners, or community members already use.

Configure the Asset Badge strategically to display the most important categorization on asset tiles. This provides quick visual identification of asset types without requiring users to open individual assets.

Test filter combinations with real users before finalizing your Resource Collection configuration. Ensure the filters provide meaningful ways to narrow down content.

Leverage the Type filter for broad categorization (Case Studies, White Papers, Product Guides) and create custom filters for more specific organizational needs (Product Line, Industry, Sales Stage).

Use custom sorting wisely. Manual sorting works well for curated collections where you want to highlight specific assets, while alphabetical or date-based sorting works better for larger, frequently updated collections.

Plan your filter strategy across multiple Resource Collections. Consistent filter options help users navigate different collections more easily.

Troubleshooting Tips

Filter not appearing in Resource Collection: Ensure the filter has been added to the specific Resource Collection's configuration. Creating a filter in "Manage Filters" does not automatically add it to all Resource Collections.

Cannot delete a filter: Check if the filter is currently being used in any Resource Collections. You may need to remove it from Resource Collections before deleting it.

Asset Badge not displaying: Verify that the selected badge field has values populated for your assets. Empty fields will not display a badge.

Custom sorting not working: Ensure you've selected "Custom" in the Sorting field. Other sorting options will override manual drag-and-drop arrangements.
