Configuring Currency Exchange Settings

Multi-currency functionality in Magentrix allows organizations to display financial information in multiple currencies based on user preferences and locale settings. This feature enables global organizations to provide localized currency experiences for users in different regions.

Multi-Currency System Overview

Supported Integrations

Multi-currency functionality is available with the following configurations:

  • Salesforce CRM Integration
  • Microsoft Dynamics CRM Integration
  • Native Magentrix (no CRM connection)

Currency Display and User Experience

  • Base Currency: Organization's primary currency set in Company Information > Locale Settings
  • User Preference: Users can select their preferred currency from "My Settings" in their profile
  • Automatic Display: Users see prices and financial information in their selected currency
  • Real-time Conversion: Currency conversion applied based on configured exchange rates

Enabling Multi-Currency

Support Activation Required

Important: Multi-currency must be enabled by Magentrix support before configuration options become available.

Activation Process:

  1. Contact Magentrix support to request multi-currency enablement
  2. One-time Setup: This is a permanent configuration that cannot be reversed once enabled
  3. Interface Availability: Currency exchange management options appear in Company Preferences only after activation

Requirements

To configure currency exchange settings, you must have:

  • Administrator System Role permissions
  • Multi-currency enabled by Magentrix support

Accessing Currency Exchange Settings

Navigation to Currency Management

  1. Navigate to the Setup Home page
  2. Click Manage > Company Preferences
  3. Select the Company Information tab
  4. Navigate to the Locale Settings section
  5. Click Manage Exchange Rates & Organization Currency

Note: The "Manage Exchange Rates & Organization Currency" link only appears after multi-currency has been enabled by Magentrix support.

Currency Configuration Options

Currency Settings in Locale Settings

From the screenshot, the following multi-currency options are available in Locale Settings:

Multi-Currency Enabled

  • Checkbox to enable multi-currency support for your organization
  • "This setting cannot be changed once enabled"
  • Enables currency conversion throughout the platform

Display amounts in user's preferred currency

  • Allows users to see financial information in their personally selected currency
  • Users can choose their preferred currency from their profile settings

Manage Exchange Rates & Organization Currency

  • Link to access detailed currency management interface
  • Configure exchange rates and manage multiple currency support

Adding New Currencies

Creating Currency Records

  1. In the Currency Exchange Rates page, click New
  2. Configure the following settings:
    • Currency: Select the currency from the dropdown list
    • Conversion Rate: Enter exchange rate from your base currency to the new currency
    • Decimal Places: Set number of decimal places for display and rounding
    • Active: Check to make the currency available for use
  3. Click Save

Currency Configuration Best Practices

  • Accurate Exchange Rates: Ensure conversion rates reflect current market rates
  • Appropriate Decimal Places: Consider currency conventions (e.g., JPY typically uses 0 decimal places)
  • Active Status: Only activate currencies that are actively used by your organization

Managing Existing Currencies

Editing Currency Settings

  1. In the Currency Exchange Rates page, click the currency to configure
  2. Click Edit to modify settings:
    • Conversion Rate: Update exchange rate from base currency
    • Decimal Places: Adjust display precision
    • Active: Enable or disable currency availability
    • Corporate Currency: Designate as organization's base currency
  3. Click Save when configuration is complete

Additional Currency Management Options

  • Clone: Create copy of existing currency with similar settings
  • Delete: Remove currency from system (use carefully - may affect historical data)

Exchange Rate Management

Manual Exchange Rate Updates

Administrator Responsibility: Exchange rates are manually maintained by administrators unless automatic integration is configured.

Update Process:

  • Regular review and update of exchange rates based on current market conditions
  • Consider frequency of updates based on currency volatility and business requirements
  • Document exchange rate change rationale for audit purposes

Automatic Exchange Rate Integration

OpenExchangeRates.org Integration: Magentrix can integrate with OpenExchangeRates.org for automated exchange rate updates.

Integration Benefits:

  • Automated Updates: Exchange rates update automatically based on current market data
  • Reduced Administrative Burden: Eliminates manual exchange rate maintenance
  • Current Market Rates: Ensures exchange rates reflect real-time market conditions

Corporate Currency Management

Base Currency Configuration

Corporate Currency Setting: Designates your organization's primary currency for:

  • Financial reporting and analytics
  • Base currency for all exchange rate calculations
  • Default currency for system-generated financial information

Relationship to Company Information: The Corporate Currency should align with the currency set in Company Information > Locale Settings for consistency.

User Experience and Currency Selection

User Currency Preferences

My Settings Configuration: Users can select their preferred currency from their profile settings under "My Settings."

Currency Display Logic:
