Configuring the Wizard Assistant

The Wizard Assistant is an interactive chat experience that answers user questions in natural language using your selected knowledge sources. It is configured from the second tab on the AI Tools Settings page.

Requirements


Opening the Tab

  1. Navigate to Setup > Manage > Community Settings > AI Tools Settings.
  2. Select the Wizard Assistant tab.

Enabling the Wizard Assistant

  1. Toggle Wizard Assistant Enabled. Additional configuration sections appear when this is on.
  2. In the Articles picklist, select the Article Types the Wizard Assistant should draw from when answering questions. Article Types already used by Case Deflection are included by default and cannot be removed.
  3. In the Wikis picklist, select the Wikis the Wizard Assistant should draw from. Wikis already used by Case Deflection are included by default and cannot be removed.

Assigning Roles

The Wizard Assistant is only visible to users in the security roles you assign here. By default, no roles are selected; you must explicitly grant access.

  1. In the Assign Role panel, click Assign Wizard Assistant to roles. A side drawer opens listing all security roles in your portal.
  2. Check the box next to each role that should have access to the Wizard Assistant.
  3. Click Save in the drawer.

Selecting Document Library Files

In addition to Articles and Wikis, the Wizard Assistant can be trained on individual files in the Document Library.

  1. In the Document Library panel, click Add. A side drawer opens with a folder browser.
  2. Browse and select the files you want indexed. Use View at any time to see the current list of selected files in read-only mode.
  3. Click Save in the drawer. A confirmation message indicates the files have been queued for processing; indexing may take a few minutes.

Supported File Types

The following Document Library file types are supported for AI training:

  • Documents: PDF (.pdf), Word (.docx), Excel (.xlsx), PowerPoint (.pptx), MagDoc (.magdoc), HTML (.htm, .mhtml), Email (.eml), Comma-separated values (.csv).
  • Audio and video: MP3 (.mp3), MP4 (.mp4).
  • Online video links: YouTube and Vimeo. Vimeo videos must have captions enabled in Vimeo for the transcript to be indexed.
  • Code and text snippets: standard plain text and code file types supported by the Magentrix snippet helper.

Personalizing the Wizard Assistant

The lower section of the Wizard Assistant tab lets you brand the assistant for your users.

  1. Wizard Assistant Name - Enter a display name for the assistant (up to 20 characters). This name appears wherever the assistant is presented to users.
  2. Wizard Assistant Image - Upload a profile image (JPG, JPEG, or PNG). Minimum recommended size is 128 x 128 pixels.
  3. Predefined Questions - Add up to 4 starter questions of up to 150 characters each. Type a question into the input and click Add. Use the drag handle to reorder, the pencil icon to edit, and the X icon to delete a question. Predefined questions appear in the chat window so users can launch the assistant with a single click.

Saving Your Changes

Click Save at the bottom of the page. Indexing of newly selected knowledge sources begins automatically in the background and contributes to the AI Indexing Storage usage shown on the AI Tools page.


Use Cases

  • Onboarding self-service for new partners. Add the "Getting Started" Article Type and the partner program Wiki, then set predefined questions like "How do I register a deal?" and "Where is my partner dashboard?" New partners can launch the Wizard with one click and get oriented without contacting support.
  • Surface knowledge that lives in files, not Articles. Sales-enablement decks (.pptx), product playbooks (.pdf), and recorded webinar MP4s often contain valuable content that was never published as a Knowledge Article. Add them to the Document Library knowledge sources to make them queryable.
  • Limit early rollout to a single role. Assign the Wizard Assistant to an internal "Pilot Users" role first to validate response quality on your content before opening to all partners.
  • Brand the assistant per portal. Set a Name and Image that match the portal's persona (for example, a different name on a Customer Success portal versus a Partner portal that share the same Magentrix instance).

Troubleshooting

  • Symptom: Users in a role do not see the Wizard chat icon.
    Cause: The role is not assigned in the Assign Role drawer, or the user's session predates the change.
    Resolution: Open the Assign Role drawer, confirm the role is checked, save, and have the user log out and back in.
  • Symptom: The Wizard answers using outdated content.
    Cause: The Article or Wiki was edited but the indexing job has not yet picked up the change, or the source was removed and re-added before the embeddings refreshed.
    Resolution: Wait for the next indexing pass; for urgent updates, ensure the content is published, then save the AI Tools settings to re-trigger indexing.
  • Symptom: A Vimeo video was added but the Wizard cannot answer questions about its content.
    Cause: Captions are not enabled on the Vimeo video. Magentrix indexes the Vimeo transcript, which requires captions to exist.
    Resolution: Enable captions in Vimeo, then re-add the file in the Document Library knowledge sources.
  • Symptom: A document was uploaded but never indexed.
    Cause: The file extension is not in the supported list, or AI Indexing Storage is full.
    Resolution: Confirm the extension is supported. Check the AI Status panel for a storage-full warning. Free space by removing unused content sources.
  • Symptom: Predefined Questions don't appear in the chat window.
    Cause: Either Save was not clicked at the bottom of the page after adding them, or the Wizard Assistant Enabled toggle is off.
    Resolution: Confirm both, save, and refresh the user's page.
  • Symptom: The Wizard Image upload is rejected.
    Cause: File is not JPG, JPEG, or PNG, or below the 128 x 128 minimum.
    Resolution: Convert and resize the image before uploading.
