Email Deal Registration

The Email Deal Registration tab configures the ability for partners to submit deal registrations by forwarding emails. Magentrix AI reads the forwarded emails and automatically registers deals on behalf of the partners.

To access this tab, navigate to Partner Management > Deal Settings and click the Email Deal Registration tab.

Enable Email Deal Registration

Check the Enable Email Deal Registration checkbox to activate the ability for partners to submit deals via email.

Email Forwarding Address

When Email Deal Registration is enabled, the system displays a read-only Email Forwarding Address (e.g., 1053@magentrixcloud.com). This is the address that partners should forward their deal registration emails to.

Partners forward emails from their deal registration inbox (e.g., dealreg@mycompany.com) to this Magentrix address, allowing Magentrix AI to read the emails and register deals on their behalf.

Click the copy icon (clipboard button) next to the email address to copy it to your clipboard. This address is auto-generated by the system and cannot be edited.

Email Templates

Configure the email templates used to notify partners about the status of their email-based deal registrations:

Ensure all three email templates are configured before enabling Email Deal Registration. Without these templates, partners will not receive feedback on their email submissions.

Mapping Fields

The Mapping Fields section defines how detected fields from incoming emails map to CRM lead fields. Magentrix AI automatically detects information in forwarded emails and maps it to the corresponding lead fields based on this configuration.

Action Buttons

Default Field Mappings

The following table shows the default field mappings. Each row maps a detected email field to a CRM lead field. Fields marked with an asterisk (*) are required for successful email deal registration.

The four required fields — Customer Firstname, Customer Lastname, Customer Email, and Customer Company Name — must be present in the forwarded email for the deal registration to succeed. If these fields are missing, the partner will receive the "missing information" email notification.

Click the Edit (pencil icon) button on any row to modify the mapping between a detected field and its corresponding CRM lead field.

Click Save after making changes to this tab.

Best Practices and Recommendations

  • Share the Email Forwarding Address with your partners and include it in any onboarding materials or partner guides.
  • Configure the "missing information" email template with clear guidance on what information is required, so partners know how to resubmit correctly.
  • Use Configure Default Values to set fallback values for optional fields that may not always appear in forwarded emails.
  • Review the mapping table periodically, especially after CRM schema changes, to ensure all field mappings remain accurate.
  • Add custom field mappings using + Add Mapping if your deal registration process requires additional data beyond the default fields.

Limitations and Considerations

  • The Email Forwarding Address is system-generated and cannot be customized. Partners must use this exact address for email deal registration to work.
  • Email Deal Registration relies on the structure and content of forwarded emails. Emails with inconsistent formatting may result in incomplete field detection.
