Activating and Mapping HubSpot Entities
After Magentrix has configured the HubSpot connected app on your portal (see Authorizing HubSpot for Your Magentrix Portal), you complete setup from the HubSpot Integration page in Magentrix.
Requirements
- Administrator System Role.
- HubSpot connected app already configured on the portal by Magentrix.
- HubSpot owner users added to Magentrix as Employee users (recommended before activation).
Opening the HubSpot Integration Page
From Setup, navigate to HubSpot Integration. The page lists the three supported HubSpot entities (Company, Contact, Deal) and the Magentrix entities they map to (Account, Contact, Opportunity).
Activating the Integration
- Click Activate.
- The system prompts you to set a Default Owner. Select the Magentrix user who should own incoming HubSpot records when no matching owner is found in Magentrix. This field is required.
- Click Activate in the settings dialog. Magentrix adds a HubSpot User ID field to the User entity if it does not already exist, populates it for matched users, and enables the integration.
After activation, the entity table displays a per-entity Active/Inactive toggle. Mandatory entities cannot be turned off; optional entities can be toggled as needed.
Mapping Fields for an Entity
- On the entity row, click Map Fields. The Field Mappings dialog opens.
- Each row shows a HubSpot property and a Magentrix field. Use the Magentrix field dropdown to change the target field.
- To map a HubSpot property to a new Magentrix field, choose NEW ID in the dropdown. When you save, Magentrix automatically creates the custom field on the Magentrix entity using the field type that best matches the HubSpot property type:
- HubSpot text properties become Magentrix Text fields (length 3999).
- HubSpot multi-line text properties become Magentrix Text Area fields (length 3999, 3 visible lines).
- HubSpot numeric properties become Magentrix Number fields (length 16, 0 decimal places).
- HubSpot currency properties become Magentrix Currency fields (length 16, 2 decimal places).
- HubSpot picklist properties become Magentrix Picklist fields, and HubSpot picklist options are created as Magentrix picklist values.
- Click Save. Magentrix saves the mapping and triggers a full resync so the new mapping is applied.
The HubSpot owner property and (for Deal) the pipeline property are excluded from the mapping UI; they are handled separately.
Refreshing an Entity Schema
If picklist options or pipelines/stages have changed in HubSpot, click the Refresh link on the entity row. Magentrix re-reads the picklist values and pipeline/stage information for that entity and updates the Magentrix picklists accordingly. This action does not change field mappings.
Editing Settings After Activation
From the entity table header, click the actions menu (the vertical dots icon) and choose Edit Settings to change the Default Owner or other settings. Choose Connect Owners to re-run the owner matching that links HubSpot owners to existing Magentrix users by HubSpot User ID.
How Sync Is Triggered
Saving a field mapping or activating the integration triggers a full resync. Ongoing synchronization runs as a Scheduled Job. See Scheduled Jobs for details on adjusting frequency.
