Creating Email Templates
New templates are created through a short wizard that asks for the template type, how you want to start, and a name. The template then opens in the editor with Ready to use switched off, so an unfinished template cannot be picked up by an automation.
Requires Create permission on the Email Template object.
Using the New Template Wizard
Go to Setup > Create > Email Templates and click New Template. The wizard then walks through three steps, numbered on screen as Step 1 of 3 and so on.
- Choose the template type - Plain Text or HTML. This cannot be changed later.
- Choose how to start - Start from scratch for an empty subject and body, or Ask AI to have a first draft written for you.
- Name it - enter a Template Name. On the AI path, also complete What is this email for?
Click Create. The template opens in the editor.
AI drafting requires the AI Assistant license. It is part of your Magentrix subscription, not a setting an administrator can switch on. If your plan does not include it, contact your Magentrix representative.
Without that license the wizard is two steps, not three. Step 2 exists only to choose between Start from scratch and Ask AI. With no AI available there is nothing to choose between, so step 2 disappears and you go straight from the template type to the name - the wizard then reads Step 2 of 2. Ask AI is not greyed out; it is not shown at all.
Drafting with AI
On the Ask AI path, the What is this email for? description is what the AI works from. Describe the audience, the goal and the tone - anything you would tell a copywriter. Longer, more specific descriptions produce better drafts.
The generated subject and body are a starting point, fully editable in the editor afterwards. Check facts, tone and merge tokens before saving. Generated HTML templates pick up the portal's brand colors and logo and support merge tokens.
Description length. The AI request is limited to 9,500 characters. The wizard's on-screen counter is advisory; the limit is enforced when you submit.
If the description is too vague, the wizard reports The AI couldn’t draft an email from this description. Add the audience, goal and tone and try again.
Cloning an Existing Template
Cloning is often faster than starting over. You can clone from the list page's row action menu, or from Actions > Clone in the editor.
A clone carries over the description, subject, body, type, reply-to address, tags, branding mode, every translation, and any attached notes and files. It always starts with Ready to use switched off, and the editor opens on the new copy.
Clones are named <original name> - Copy, then - Copy 2, - Copy 3 and so on if that name is already taken. Cloning a clone does not stack the suffix: cloning "Welcome - Copy" produces "Welcome - Copy 2", not "Welcome - Copy - Copy".
A template must be saved at least once before it can be cloned. Until then the action is disabled with the hint Save the template before cloning.
If the editor has unsaved changes, you are asked Save before cloning? - choose Save and clone, Discard and clone, or Cancel.
If an individual translation or attachment cannot be copied, the clone is still created and the failure is logged rather than aborting the whole operation.
Naming Templates
Names are limited to 120 characters and are not enforced unique - nothing prevents two templates sharing a name. Avoid duplicates anyway: package deployment matches templates by name, so two templates with the same name make deployments ambiguous.
System templates cannot be renamed by ordinary administrators; the Name field is disabled with the hint System templates can’t be renamed.
