Deal Closing Extension
The Deal Closing Extension tab manages how partners can request deadline extensions on opportunities and how those requests, decisions, and related reminders are communicated and tracked. Extensions relate to the Exclusivity Expiration Date — the date by which a partner must close the deal to retain their deal protection.
To access this tab, navigate to Partner Management > Deal Settings and click the Deal Closing Extension tab.
Extension Request Settings
Number of Opportunity Extension Requests Allowed
Controls how many extension requests a partner can make on a single opportunity.
| Option | Behavior |
|---|
| --Select-- | No value selected. The extension request feature is effectively disabled. |
| Once | The partner can only request one extension. Once the first request is approved or rejected, no further requests are allowed. |
| Unlimited | The partner can make as many requests as needed, as long as there is no extension request currently pending approval. |
Internal Extension Request Notifications
Enable Internal Notifications When a Partner Requests an Extension on an Opportunity
When enabled, internal recipients are notified each time a partner submits an extension request. This is a parent toggle — enabling it reveals the following sub-fields:
| Field | Type | Description |
|---|
| Notify the opportunity owner when a partner requests an extension on an opportunity | Checkbox | Sends the notification to the opportunity owner. This checkbox is automatically enabled when you first activate internal notifications. |
| Internal email address(es) to notify when a partner requests an extension on an opportunity | Textarea | Additional email addresses to receive extension request notifications. Enter a comma-separated list. |
| Email Template to notify the opportunity owner/internal email address(es) when a partner requests an extension on an opportunity | Email Template Lookup | Select the email template for this notification. The template can reference fields from the Opportunity entity. |
When internal extension notifications are enabled, you must either enable "Notify the opportunity owner" or provide at least one email address in the email list. The system will display a validation warning if neither is configured.
Partner Extension Decision Notifications
Notify the Partner When Their Extension Request on an Opportunity is Approved or Rejected
When enabled, the partner receives an email when their extension request decision is made. This is a parent toggle — enabling it reveals the following sub-fields:
| Field | Type | Description |
|---|
| Email Template to notify the partner when their extension request on an opportunity is approved | Email Template Lookup | The email template sent to the partner when their extension request is approved. |
| Email Template to notify the partner when their extension request on an opportunity is rejected | Email Template Lookup | The email template sent to the partner when their extension request is rejected. |
You can reference fields from both the opportunity and extension request entities in these email templates.
When partner extension notifications are enabled, both the approved and rejected email templates are required. Saving without selecting both templates will trigger a validation warning.
Reminder Notifications
Enable Reminder Email Notification
Enables up to two automated reminder emails that alert the partner as their opportunity approaches the Exclusivity Expiration Date. This is a parent toggle — enabling it reveals the following sub-fields:
| Field | Type | Description |
|---|
| Reminder 1 | Numeric Text | The number of days before the Exclusivity Expiration Date when the first reminder is sent. |
| Reminder 2 | Numeric Text | The number of days before the Exclusivity Expiration Date when the second reminder is sent. |
| Email Template to remind the partner their opportunity reaches the 'Exclusivity Expiration Date' | Email Template Lookup | Select the email template for reminder notifications. The template can reference fields from the Opportunity entity. |
| Send a copy of the reminder notification to the opportunity owner | Checkbox | When enabled, the opportunity owner also receives a copy of the reminder email. |
At least one reminder value must be provided when reminders are enabled, and an email template is required.
Set your reminder days strategically. Reminder 1 should be set to a greater number of days than Reminder 2, since the days count down toward the expiration date. For example, configuring Reminder 1 at 30 days and Reminder 2 at 7 days means the partner receives a first reminder 30 days before expiration and a second reminder 7 days before — giving ample notice while also creating urgency as the deadline approaches.
Expiration Settings
Update the Opportunity Stage & Notify the Partner When the 'Exclusivity Expiration Date' is Reached
When this checkbox is enabled, the system automatically changes the opportunity to a specified stage when the expiration date arrives and notifies the partner. This is used to automatically close or demote deals that have expired. This is a standalone toggle.
Extension Request Button Visibility
The Extension Request Button Visibility field defines the number of days before the Exclusivity Expiration Date when the extension request button becomes visible to the partner. For example, if set to 30, the partner can only see and click the "Request Extension" button starting 30 days before their deal expires. This setting is always visible regardless of other settings on this tab.
This is a required field. You must enter a numeric value to define when partners can see the extension request button.
Opportunity Tracking Fields
The Opportunity Tracking Fields section is a collapsible area (click the toggle icon to expand or collapse) that tells the system which fields on the Opportunity entity are used for tracking deal extension data. These field mappings must be configured for the deal closing extension workflow to function correctly.
| Field | Description |
|---|
| Exclusivity Expiration Date Field | The date field on the Opportunity entity used to track the deal closing due date. The dropdown displays only Date and DateTime type fields. |
| Partner Contact Field | The contact field on the Opportunity entity used to track the assigned partner. The dropdown displays only Lookup type fields. |
These fields must be correctly mapped to your CRM opportunity fields for the deal closing extension feature to function properly. Incorrect mappings may result in reminders and extension requests not working as expected.
Click Save after making changes to this tab.
Best Practices and Recommendations
- Configure both reminder notifications to give partners sufficient advance warning before the Exclusivity Expiration Date.
- Enable internal notifications for extension requests so your team can review and respond promptly.
- If your deals have long sales cycles, consider allowing Unlimited extension requests. For shorter cycles, Once may be more appropriate.
- Set the Extension Request Button Visibility value to align with your first reminder — for example, if Reminder 1 is 30 days, set button visibility to 30 days as well.
- Configure expiration behavior deliberately — the automatic opportunity stage update on expiration permanently changes deal records. Communicate the expiration policy clearly to partners so they understand the implications of missing the deadline.
- Verify your Opportunity Tracking Fields mappings after any CRM field changes to ensure continued accuracy.
