Payout Dashboard

The Payout Dashboard is the administrator's view into every payout transaction across the portal. Use it to monitor pending, completed, and failed payouts, to investigate a partner's payment history, and to filter activity by date range, partner account, or payment type for finance reporting.

This is a read-only monitoring surface. Approving and processing claims happens on the Managing Payout Claims page.

Requirements

  • Administrator System Role, or a partner administrator delegated access through the Payout Setting Role list.
  • The Payout Module must be enabled.
  • At least one Cash Reward Program with activity to display.

Opening the Dashboard

  1. Click Rewards in the left navigation menu.
  2. On the Reward Settings page, click Payout Dashboard.

Filtering the View

The dashboard exposes four filters at the top of the page. The second filter changes depending on which tab is active:

FilterWhat It Does
Payment TypeIndividual or Organization. Distinguishes payouts that go to a partner's personal account from those that go to a business entity. Stripe Connect and PayPal both support both types; partners choose during onboarding.
Date RangeA start/end date selector. Visible on the Summary and Transactions tabs. The dashboard honors the portal's configured fiscal year start so quarterly views align with finance reporting. Used for tax-year views and ad-hoc periods.
Earning YearA single tax-year selector. Visible on the Earnings tab (replaces the Date Range filter). Used for per-partner earnings views and 1099-style reporting.
AccountOne or more Account records. Use the lookup to limit the dashboard to specific partner accounts.
Partner UserOne or more partner users. Use the lookup to drill down to specific individuals within an account.

Filters combine with AND. Clear any filter to broaden the view.

Dashboard Tabs

Below the filters, the dashboard is organized into three tabs: Summary, Transactions, and Earnings.

Summary Tab

The Summary tab provides a high-level overview of payout activity:

  • Payments chart — a bar chart showing payment amounts grouped by status (e.g., All Pending).
  • Total Transactions — the count of all payout transactions within the current filter.
  • Total Paid — the total amount successfully disbursed.
  • Total Processing — the total amount currently being processed.
  • Total Pending — the total amount approved but not yet sent.

Below the summary cards, a payout table displays records with the following columns:

ColumnDescription
Payout NumberThe unique identifier for each payout batch.
Total SuccessNumber of successfully completed transactions in the payout.
Total PendingNumber of transactions still pending in the payout.
Total FailedNumber of failed transactions in the payout.
Created OnThe date the payout was created. Sortable (default sort).
Payout Sent DateThe date the payout was sent to the payment vendor.

Currencies are subject to the portal's currency exchange rates.

Transactions Tab

The Transactions tab shows individual transaction-level detail. It includes an additional All Payout Methods dropdown to filter by payment vendor, and an Export button to download the data.

The transaction table displays the following columns:

ColumnDescription
Transaction NumberThe unique identifier for each individual transaction.
Payout DateThe date the payout was processed. Sortable (default sort).
Recipient NameThe name of the partner who received the payout.
Payout MethodThe payment vendor used (e.g., PayPal, Stripe Connect).
Reward AmountThe original reward amount before any fees.
Transaction FeesAny fees deducted from the payout.
Amount PaidThe net amount disbursed to the partner after fees.

Earnings Tab

The Earnings tab provides a per-partner earnings summary for a given tax year. When this tab is active, the Date Range filter is replaced by the Earning Year selector.

The tab includes an Edit Tax Amount button and an Export button. The earnings table displays the following columns:

ColumnDescription
NameThe partner's name.
TransactionsThe number of payout transactions for the partner in the selected year.
Total PaidThe total amount paid to the partner in the selected year.

Tax Reporting

When US Tax Tracking is enabled in the Payout Module settings, the Earnings tab supports tax-year reporting:

  • Switch to the Earnings tab and select the tax year from the Earning Year filter.
  • Filter by Account to produce per-partner earnings for 1099-style reports.
  • Use the Edit Tax Amount button to adjust tax amounts as needed.
  • Partners who have not completed the Tax Report step are flagged so you can follow up before issuing year-end summaries.

Exporting Data

Filtered results can be exported for finance and audit:

  1. Apply the filters that match the report you need.
  2. Navigate to the Transactions or Earnings tab.
  3. Click the Export button to download a spreadsheet of the visible rows.
  4. The export includes the columns visible on the active tab. Use this as the source for reconciliation with your finance system.

Troubleshooting Tips

  • If a recent payout is missing, confirm the corresponding reward is in an approved status and the partner has a Payout Profile in place.
  • If a transaction status is stuck on created, verify the vendor webhook is reachable; without webhook events, the dashboard cannot move the status forward.
  • If amounts look wrong, check the Pass Transaction Fees to Partner setting — fees are subtracted from the payment when this is on.
