Deal Registration

The Deal Registration tab controls how partner-submitted leads are handled, who gets notified when deals are submitted or reviewed, and which Lead entity fields are used for tracking deal registration data. This is the default tab that displays when you first open the Deal Settings page.

To access this tab, navigate to Partner Management > Deal Settings.

Internal Notification Settings

These settings control email notifications sent to internal team members when a partner submits a new lead through deal registration.

Enable Internal Notification When Partners Submit a Lead

When enabled, an email notification is sent to internal recipients each time a partner submits a deal. This is a parent toggle — enabling it reveals the following sub-fields:

When internal notifications are enabled and the "Notify the partner account owner" option is unchecked, at least one email address must be provided in the email address list. The system will display a validation warning if neither option is configured.

Partner Approval/Rejection Notifications

These settings control email notifications sent to partners when their submitted leads are approved or rejected.

Enable Partner Notifications When a Lead is Approved/Rejected

When enabled, the partner who submitted the deal receives an email when their lead is approved or rejected. This is a parent toggle — enabling it reveals the following sub-fields:

Lead Owner Assignment

Assign Lead Owner: When enabled, leads created by partner users are automatically assigned to the partner's account owner — the internal user responsible for that partner relationship. When disabled, lead ownership follows the external CRM's assignment rules instead.

The "Assign Lead Owner" setting only appears when your organization is connected to an external CRM (such as Salesforce, Dynamics CRM, or HubSpot). It is not visible on instances using the native Magentrix CRM, where lead ownership is handled internally.
Disabling this option means lead assignment is fully controlled by your CRM's native assignment rules. Ensure your CRM rules are configured correctly to avoid unassigned leads.

Lead Tracking Fields

The Lead Tracking Fields section is a collapsible area (click the toggle icon to expand or collapse) that tells the system which fields on the Lead entity are used for tracking deal registration data. These field mappings must be configured for deal registration workflows to function correctly.

Lead Ownership FieldThe field used to track whether the lead was created by a partner or by the vendor. This field is automatically set to "Partner" when a partner submits a deal through deal registration.
Partner Contact FieldThe field used to record which partner contact submitted the deal registration. This creates the link between the lead and the submitting partner.
Review Status FieldThe field used to track the approval review status of the lead (e.g., Submitted, Approved, Rejected). This field is updated when deals are approved or rejected.
The Lead Ownership and Review Status field dropdowns display only Picklist and Text type fields from your Lead entity. The Partner Contact field dropdown displays only Lookup type fields.
These fields must be correctly mapped to your CRM fields for deal registration tracking to function properly. Incorrect mappings may result in lost or inaccurate partner attribution data.

Click Save after making changes to this tab.

Best Practices and Recommendations

  • Configure Lead Tracking Fields first — before enabling any notifications or workflows on the Deal Registration tab, ensure the Lead Ownership, Partner Contact, and Review Status fields are properly mapped. These fields are foundational to the deal registration workflow, and notifications will not function correctly without them.
  • Always configure at least one internal email address for lead submission notifications so your team is promptly informed of new deal registrations. You can use distribution lists rather than individual addresses for easier maintenance.
  • Use descriptive email template names (e.g., [INTERNAL] Deal Registration - New Lead Submitted) to easily identify templates in the lookup.
  • Enable both approval and rejection notifications to keep partners informed and engaged throughout the deal registration process.
  • Verify your Lead Tracking Fields mappings after any CRM field changes to ensure continued data accuracy.
